Job Summary/Basic Function

The Grants and Contracts Analyst is the institutional subject matter expert (SME) for Cayuse, responsible for system integrity, user support, workflow optimization, troubleshooting, and data reporting. This role ensures that Cayuse functions effectively as a core research administration system and supports transparent, efficient, and compliant grants management operations. This position oversees system configuration, workflow design, user permissions, and data governance.
This position will also serve as a cross-functional liaison between the pre-award and post-award teams, managing and supporting the institution's research administration systems and processes across the full grant lifecycle-from proposal development to award closeout. This position ensures the accurate tracking, reporting, and maintenance of all sponsored project data ensuring grant operations are aligned with institutional and regulatory requirements.

Minimum Qualifications

  • Bachelor's degree in public administration, business administration, accounting, finance, or a closely related field and a minimum of two (2) years of relevant work experience in accounting, finance, grant writing, grants management, or compliance, research administration systems; OR Bachelor's degree in any field with five (5) or more years of experience in grants management, sponsored programs administration, and/or accounting or finance, research administration systems.
  • Demonstrated experience across the full sponsored projects/grant lifecycle (pre-award through closeout) in a higher education, government, non-profit and/or research environment.
  • Knowledge of federal, state, and private sponsor regulations governing research and sponsored programs (e.g., Uniform Guidance, NIH Grants Policy Statement, NSF PAPPG, 2CFR 200 for federal grants).
  • Experience using the Cayuse Research Suite or comparable electronic research administration systems.
  • Experience with writing, editing, and budgeting for proposal development and award management.
  • Demonstrated experience with the fiscal aspects (fund accounting and/or fiscal reporting) of extramurally funded projects (e.g., foundation or government-funded) in an academic environment.
  • Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
  • Proficiency in Microsoft Office and database management tools.
  • Excellent communication and interpersonal skills; ability to work collaboratively across departments and with diverse stakeholders.
  • Ability to perform complex tasks and to prioritize multiple projects, and meet deadlines in high-stress environment.
  • Proven analytical and critical thinking skills with a strong understanding of accounting functions in Excel, including familiarity with Excel's analysis tools.

Preferred Qualifications

  • Bachelor of Science (BS) in Information Technology, Computer Science, or Information Systems
  • Experience in a Carnegie R2 or higher research institution.
  • Advanced proficiency in Cayuse modules, including Sponsored Projects, Proposals S2S, Animal Oversight, Outside Interests, Hazard Safety, Vivarium Operations, Fund Manager, or Human Ethics.
  • Familiarity with report generation, data visualization tools, or SQL-based systems.
  • Certification in research administration (e.g., CRA, CPRA, CFRA).
  • Experience using SCT Banner
  • Experience using PowerBI

Essential Functions and percent of time

Essential function: Cayuse System Coordination & Data Integrity (40%)
• Serve as the primary administrator for the Cayuse Research Suite, managing system configuration, user access, permissions, and data governance.
• Configure Cayuse modules (SP, Proposals, Human Ethics, etc.) to align with institutional policies.
• Maintain data integrity across all Cayuse modules and associated systems.
• Troubleshoot technical issues and coordinate with Cayuse support or campus IT as needed.
• Develop and maintain documentation, standard operating procedures, and workflow guides related to Cayuse processes.
• Maintain accurate and complete data from pre award setup through post award close out.
• Monitor system workflows; collaborate with relevant teams to resolve bottlenecks or errors.
• Implement system updates, test new features, and assist with configuration changes.
• Ensure data integrity through regular audits, validation checks, and documentation.

Essential function: Grant Lifecycle Coordination (30%)
• Coordinate with both Pre-Award and Post-Award teams to support seamless transitions of sponsored projects from proposal submission to award management and closeout.
• Support the preparation and submission of proposals, Just-in-Time requests, and other sponsor communications through Cayuse or related systems.
• Working in collaboration with the Principal Investigator (PI), ensure compliance with all applicable federal, state, private, and institutional regulations.
• Support both pre award and post award teams in tracking proposals, awards, subawards, modifications, deliverables, compliance data, and close out documentation.
• Facilitate smooth data transitions between pre award and post award to ensure continuity and completeness of grant records.
• Identify and implement opportunities for increased efficiency, consistency, and compliance throughout the grant lifecycle. Work with campus faculty and staff to implement approved process improvements and support smooth transitions to updated workflows.
• Assist with maintaining accurate sponsor and opportunity data.

Essential function: Reporting, Dashboards, & Data Management (20%)
• Generate data reports and dashboards to support compliance monitoring, workload tracking, and institutional reporting needs.
• Collaborate with the Vice Provost and other stakeholders to analyze trends in sponsored research activity and support strategic decision-making.
• Design and maintain reporting templates to ensure compliance, strategic planning, performance metrics, sponsor requests, and audits. Responsible for consistency and accuracy in reporting across departments and units.
• Translate grant lifecycle data into actionable insights for improving workflows and identifying trends in research activity.

Essential function: Training, Technical Support & Process Improvement (10%)
• Provide training sessions, guidance, and documentation for faculty, staff, and students on Cayuse navigation, proposal submissions, financial management and reporting tools and research administration processes.
• Develop user guides, FAQs, and best-practice materials.
• Work collaboratively with cross-campus stakeholders to streamline grant-related workflows and improve system utilization.
• Support change management efforts for new business processes or system enhancements.
