HELP Grant Project Assistant (Part-Time)

The IHELP (Interdisciplinary Health Education for Leadership and Practice) Grant Project Assistant supports the implementation and compliance of a federally funded behavioral health workforce grant. This part-time position assists the Project Director in ensuring accurate documentation, timely stipend tracking, and effective communication with IHELP Fellows, Activity Directors, and university partners.
This position plays an important role in maintaining federal compliance, supporting data management, and contributing to the success of the IHELP program.
Essential Job Functions & Responsibilities:

Documentation and Compliance
- Maintain tracking spreadsheets for assigned grant activities and participant documentation
- Collect, organize, and securely store confidential materials (e.g., signed agreements, identification, and emergency contact forms)
- Assist in maintaining accurate records in accordance with federal and university retention requirements
- Support Fellow compliance with key program documentation checkpoints
Financial and Reporting Support
- Track stipend disbursements for IHELP Fellows and assist with reconciliation with the Grants Accounting Office (GAO)
- Compile and verify data for quarterly and annual reports
- Maintain documentation consistency across financial and narrative reporting materials
Fellow and Program Support
- Support recruitment, onboarding, and communication with Fellows, including distributing agreements and informational materials
- Coordinate scheduling for interviews, meetings, and workshops
- Maintain records of Fellows’ placements and internship site updates
Meeting and Event Coordination
- Attend team meetings, federal trainings, and IHELP events as assigned
- Assist with planning and coordination of community workshops or program-related events
Required Skills & Experience:
- Bachelor’s degree
- Strong written and verbal communication skills
- Proficiency in spreadsheets, databases, and digital record keeping
- Excellent organization, attention to detail, and time management skills
- Ability to maintain confidentiality and work both independently and collaboratively
Preferred:
- Experience with grant-funded or higher education projects
- Familiarity with federal reporting and compliance requirements
- Understanding of behavioral health or interprofessional education initiatives
Education Requirements:
- Associates degree
Additional Information
- Status: Part-time, grant-funded (approximately 15–20 hours per week)
- Funding: Supported by the U.S. Department of Health and Human Services, Health Resources and Services Administration (HRSA) under the Behavioral Health Workforce Education and Training (BHWET) Program
- Continuation: Contingent upon continued federal funding
- Work Location: on-campus, as determined by program needs
