Human Resources Administrative Assistant - Temporary
The Human Resources Administrative Assistant - Temporary serves as the initial point of contact for the Human Resources office at Carleton College, providing exceptional service to both internal and external stakeholders. This role is essential for delivering comprehensive administrative and operational support to the Human Resources team, contributing to a welcoming and efficient Human Resources environment.
This is a long-term temporary, full-time (1.0 FTE), benefit eligible position with an anticipated end date in June 2027.
Compensation: The expected starting hourly range for this position is between $25.00 and $25.85. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; licensure and certifications; market factors; departmental budgets; and responsibility.
Essential Job Functions/Responsibilities:
- Administrative Support: Serve as the primary point of contact for the Human Resources office, managing the front desk, professionally greeting visitors, handling incoming phone calls and emails, providing general Human Resources information, and efficiently directing inquiries to appropriate team members. Provide comprehensive administrative support to the Human Resources team, including scheduling meetings, managing calendars, preparing presentations, organizing departmental events, and managing office supplies. Maintain organized physical and electronic filing systems for Human Resources documents, ensuring accuracy and confidentiality. Complete Workday data entry with high accuracy and compliance with record-keeping policies.
- General Human Resources Operations: Assist with various Human Resources projects and initiatives as assigned, providing support to different functional areas (e.g., employment, benefits, employee relations). Assist with the preparation, formatting, and distribution of Human Resources-related documents, memos, and communications. Respond to unemployment insurance information requests and verifications of employment. Prepare and send new hire reporting and lists, leave forms and reporting, benefit continuation forms, and the initial review of accident reports. Coordinate benefit enrollment data for vendors and reconcile benefit bills. Contribute to a positive and collaborative team environment within the Human Resources department.
Describe Supervision Received and Exercised: This position does not supervise any other position(s), and reports directly to the Director of Human Resources.
Education/Experience/Skills:
- Required: Bachelor’s degree with more than 1 year of relevant work experience, or Associate degree with 3 or more years of relevant work experience in Human Resources required. Excellent customer service skills and a proactive, helpful attitude. Ability to handle sensitive and confidential information with the utmost discretion. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Proficient technical skills required. Familiarity with Workday, OnBase, or another database management is desirable, but not required. Exceptional organizational skills and meticulous attention to detail. Strong verbal and written communication skills, with a professional and courteous demeanor. Ability to prioritize tasks, manage time effectively, and adapt to changing priorities. Demonstrated ability to work both independently and as a collaborative team member. Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
