Job Description Summary

The Library Specialist for Acquisitions is responsible for performing acquisitions functions specifically related to ordering, receiving, and claiming of library material. Under only general supervision, this position places orders for monographic and subscription titles, replacement serials issues and volumes, and backfile material in various languages and formats. Under only general supervision, this position processes claims and returns damaged and unordered items to suppliers. This position is responsible for assisting the Associate Director for Resource Management & Access Services in acquiring personal copies of library materials on behalf of faculty using their research account funds, and in securing complimentary desk copies of course books and related teacher's manuals for faculty teaching upcoming classes. This position is responsible for generating monthly new order breakdown reports that document title count and expenditure data by order type, format, and jurisdiction.

Job Description

Responsibilities:

  • Places all orders, except where a credit card proves necessary (including print monographs, e-book firm orders, standing orders/subscriptions, replacement issues and volumes, sample issues, backfile runs, and rush orders when necessary); monitors electronic new order forms and related Springshare ticketing queue, closing tickets upon placing orders or redirecting the requests to colleagues when orders require a credit card; coordinates with Law School Registrar for course reserve material ordering; claims non-receipts
  • Receives all print and e-book orders (includes guttering print material, preparing physical volumes to send to the Metadata & Systems Department, barcoding and item record creation, filling out routing slips, annotating accompanying invoices and packing slips, and compiling weekly book trucks for review by the Associate Director for Resource Management & Access Services and Public Services Librarians)
  • Assists Associate Director for Resource Management & Access Services in acquiring personal copies of library materials for faculty, using their research account funds, by obtaining approval and applicable budget code information from Law School Business Affairs and working with the Library Accounting Specialist to journal related funds
  • Assists Associate Director for Resource Management & Access Services in securing complimentary desk copies of course books and related teacher's manuals, in print or electronic format, for faculty and adjuncts teaching upcoming classes; contacts publisher representatives with requests; communicates status of request to faculty and adjuncts; follow up with publisher representatives when necessary
  • Generates monthly new order breakdown reports that document title count and expenditure data by order type, format, and jurisdiction
  • Performs quality control checks on pre-processed approval plan materials from YBP/GOBI, Harrassowitz, and MIPP
  • Processes publisher/vendor returns (includes damaged and unordered items and rejected Approval Plan material)
  • Contacts publishers/vendors concerning problems in obtaining material or to reinstate lapsed subscriptions/standing orders

Qualifications:

  • An undergraduate degree, frequently in a pertinent subject or language field and at least 3 years' experience or equivalent combination of education and experience required. An advanced degree preferred.
  • Extensive skills in bibliographic or public service matters developed through a combination of experience and specific training.
  • Actual experience in the work assigned and the ability to work independently.
