Job Description
This position provides strategic oversight and leadership for both the Material Management (MM) and Equipment Management (EM) teams within Facilities Management (FM). Responsibilities include supervising purchasing, inventory, and warehouse operations, as well as directing maintenance functions.
Duties:
- Provides strategic leadership for Materials Management (MM) and Equipment Management (EM) operations, supporting long-term planning and overseeing related projects and initiatives.
- Audits inventory parts and inventory levels for Facilities Management departments, determining the addition and removal of parts and quantities
- Collaborates with departmental leadership to align goals and execution strategies
- Supervises and support staff in resolving operational challenges, providing effective solutions, and serve as backup for all Materials Management (MM) roles during staff absences
- Oversees the purchase, maintenance, and inventory of equipment used by Landscape, Custodial, and Facilities Management (FM) shops
- Maintains operational readiness of shared equipment such as forklifts, manlifts, and small tools
- Manages uniform and apparel programs, including Cintas accounts, coats, T-shirts, hats, and sample inventory
- Develops and delivers training, safety communication, and standard operating procedures (SOPs) for AiM system processes, procurement policies, and Material Management (MM)/Equipment Management (EM) operations
- Oversees testing of inventory software and manages support requests to ensure seamless functionality of workflows
- Manages the shipping/receiving dock and campus deliveries, track invoice payments with vendor statement reconciliation, and coordinate asset tagging and validation of assets
- Manage Facilities Management inventory in IWMS, including item updates, cycle counts, adjustments, min/max data, chemical inventory (SDS) documentation, annual reviews, and idle inventory control
- Works with contract suppliers and vendors to resolve issues and expand procurement options.
- Manages assigned department purchasing activities including routine, emergency, large orders, sole source purchases, PCard use, vendor accounts, ensuring purchase order compliance with university and state policies
- Assists with special projects as assigned by the senior leadership
- Performs other duties as assigned
Job Requirements
Required Education and Experience:
High School Diploma or equivalent, AND:
- 5 years of experience in experience in materials management, supply chain, procurement, facilities operations, or related field with 1 year of experience in a supervisory role.
Skills:
- Strong understanding of inventory control principles, supply chain logistics, and warehouse operations
- Familiarity with procurement processes, supplier management, and contract coordination
- Ability to interpret and apply purchasing policies, procedures, and contract terms
- Strong leadership and team management skills to effectively supervise, train, and support staff
- Excellent communication and interpersonal skills to collaborate with vendors, suppliers, and internal stakeholders
- Ability to develop, implement, and maintain SOPs to ensure consistent and efficient operations
- Ability to manage complex purchasing processes, including high-value orders and sole source procurement, while ensuring regulatory compliance
- Capacity to lead and coordinate cross-functional teams during system upgrades, safety meetings, and operational reviews
- Understanding of financial controls including PCard management, invoice reconciliation, and budget oversight
- Familiarity with safety protocols and standard operating procedures (SOPs) within facilities and asset management environments
- Knowledge of applicable safety standards, compliance requirements, and asset management protocols
Certification or Licenses:
- State issues driver's license
- Ability to obtain forklift certification within 90 days of hire
- Verification of education and licensure (if applicable) will be required if selected for hire.
Working Conditions:
- Work is performed in both warehouse and office environments
- Exposed to varying temperatures, dust, and noise levels typical of a warehouse setting
- Regular use of forklifts, pallet jacks, mobile elevated work platform, and other material handling equipment
- May require standing, walking, bending, or lifting items up to 50 lbs.
- Occasional extended hours, evening, or weekend work may be required to meet operational deadlines
- Use of appropriate Personal Protective Equipment (PPE) such as safety shoes, high-visibility vests, gloves, and eye protection as needed
- May require climbing ladders and stairs
- May be designated as an essential position during emergency closures.
- May be required to remain on campus overnight during weather or other emergencies
