Medical Office Support Specialist
Position Summary:
The Medical Office Support Specialist supports the delivery of high-quality, student-centered healthcare at Student Health Services. This role assists providers and nursing staff with clinical and administrative duties, ensuring efficient clinic operations and a positive experience for undergraduate and graduate students. The Medical Office Support Specialist plays a key role in promoting a welcoming, respectful, and confidential healthcare environment. This position is responsible for assisting healthcare providers with patient examinations and procedures while simultaneously managing front-desk operations.

Workplace Requirements:
This position is full-time, exclusively on-site, requiring all duties to be performed in person at Rice University. Per Rice policy 440, work arrangements may be subject to change.
Hiring Range:
$53,000 - $56,000 annually, contingent upon qualifications and experience
*Exempt (salaried) positions under FLSA are not eligible for overtime.*
Minimum Requirements:
- Bachelor's degree
- In lieu of the education requirement, additional related experience above and beyond what is required may be substituted on an equivalent year-for-year basis
- 2+ years of experience in medical office administration

- Advanced computer skills, including experience with Microsoft Office Suite and the ability to learn new systems

Preferences:
- Completion of an accredited Medical Assistant Program or Licensed Vocational Nurse Program with a certificate/license
- Basic Life Support (BLS/CPR) certification
- Experience in an outpatient or primary care setting
- Experience working with adolescents or college-aged populations
- Familiarity with electronic health records
Essential Functions:
- Administers support for Student Health Services in patient boarding and assists providers during examinations and procedures as appropriate
- Collaborates with others to help resolve clinic issues and concerns, interprets policies, and mediates complex and sensitive issues to appropriate resources
- Performs basic clinical tasks within the scope of practice (e.g., specimen collection, EKGs, injections, wound care, point-of-care testing)
- Supports front-desk operations by scheduling appointments, fielding incoming calls, and resolving patient inquiries regarding services and procedures, including managing communication via fax and email
- Examines Student Health Services patient data to identify trends and support future planning
- Maintains accurate and timely documentation in the electronic health record (EHR), including placing or removing holds on student accounts and reviewing health data forms
- Prepares patients for provider evaluation by obtaining and recording accurate vital signs, medical history, and detailed chief complaints
- Provides patient education as directed by providers and responds to patient questions and concerns, referring clinical issues to appropriate staff
- Maintains knowledge of Student Health Services, campus, and community resources to help students navigate support
- Assists with the organization, restocking, and inventory tracking of exam rooms and administrative areas
- Assists in financial processes, including processing expenses, procurement, and budget management
- Provides support for patient billing processes and answers basic insurance questions
- Performs all other duties as assigned
Additional Functions:
- Ensures proper handling, labeling, and storage of medical specimens
- Follows infection control, safety, and quality assurance protocols
- Adheres to HIPAA, OSHA, and university policies and procedures
- Participates in staff meetings, training, and quality improvement activities
- Supports the coordination of clinic equipment repairs and needs
- Assists with event development and planning, including training and engagement
- Assists with preparing for large capital improvement projects
- Provides feedback for policies regarding the management of general operations
