Job Summary
Coordinate aspects of the daily office environment including, but not limited to, purchasing/ordering required office supplies, equipment, etc. to ensure the department operates smoothly and efficiently. Work closely with executives and management on coordination of local culture and engagement initiatives including planning and logistics. Develop and maintain relationships with vendors, contractors, and various internal and external entities. Responsible for managing office budget and contract/price negotiations with vendors; accounting support; payroll, and human resource liaison functions.

Responsibilities
- Assist management with compilation of annual departmental budget
- Monitor and manage daily supplies purchases, including ordering of approved supplies/materials
- Act as departmental HR liaison, including posting of open positions, coordination of hiring, onboarding and off-boarding
- Coordination of departmental travel, including booking flights, hotels, and post-travel reimbursement
- Management of departmental vendor contracts including coordination of purchasing, RFP, sole source justifications, etc.
- Manage all aspects of departmental finances, including, but not limited to, journal entries, billing, bill paying.
- Liaise with university accounts payable, purchasing, and VPR finance personnel.
- Compile financial and human resource data and reports for presentation to dept leadership
- Assist dept admin team with overall office management; may include, reception, scheduling of meetings, facilities maintenance coordination, etc.
- Other projects and duties as assigned
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Office Administrator, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency).
Office Administrator, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Office Administrator, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.
