DESCRIPTION
The Department for Mail, Receiving, and Supply is a part of the Division of Finance and Administration and is located in the Service Building on the SUNY Oneonta campus. This department provides the receipt and delivery of all faculty, staff and student mail, packages, supplies, and college purchases. The department also prepares outgoing mail and packages, and processes bulk mailings.

Key Responsibilities
The Office Assistant 1 (Stores and Mail) (NY HELPS) position provides crucial support to the staff in the Mail, Receiving, and Supply office. The position is responsible for the following:
- Providing excellent customer service to faculty, staff, students, carriers, and the public through all forms of communication, including in-person, phone, and email interactions.
- Receiving mail and sorting accurately. Keep records of "trackable" mail. Receive accountable mail and packages and follow proper procedures for maintaining/transferring custody of same.
- Delivering and picking up mail timely and accurately including bundling mail, loading mail/packages in van to ensure efficient delivery, driving van safely, leaving mail/packages in appropriate places.
- Preparing outgoing mail properly including, but not limited to, complying with various mailing regulations, applying correct postage, assisting senders with use of UPS/Fed Ex.
- Filling and delivering Supply Room orders.
- Assisting with recordkeeping, preparing bulk mailings and campus distributions.
- Operating a motor vehicle to pick up and deliver mail.
- Maintaining clean, organized, and properly stocked shelves and storage areas. Perform basic maintenance of office equipment, including clearing paper jams, replacing toner cartridges, and cleaning keyboards, screens, and other surfaces.
- Working with student helpers to successfully make deliveries in a timely and accurate manner.

Competitive Qualifications:
The successful candidate must be reachable on the full-time, permanent Civil Service list for Office Assistant 1 (Stores and Mail), have held the permanent title of Office Assistant 1 (Stores and Mail) in the past or be eligible to transfer into the title.
Non-Competitive Qualifications:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). To be considered for appointment through NY HELPS, candidates must meet the non-competitive minimum qualifications for this position:
There are no minimum education or experience requirements for this position.
Required Qualifications:
- Must have a valid driver's license
Preferred Qualifications:
- Experience working with deliveries/warehouse environment

- Organizational skills
- Verbal communication skills
Additional Information:
This is a full-time, permanent position.
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
