The Philanthropy Associate provides essential support, focusing on administrative tasks that ensure the smooth operation and coordination of specific program, projects, and initiatives. This role requires organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The position may report to more than one (1) direct supervisor.

This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI).

Primary Duties and Responsibilities:

  • Administrative Support: Assist with day-to-day administrative tasks, including but not limited to, managing calendars, scheduling meetings, travel arrangements, mail management, and preparing meeting materials.
  • Data Management: Maintain and update organizational and management systems and databases, ensuring accuracy and confidentiality of information. Assist in generating reports as needed.
  • Communication: Prepare and edit correspondence, documents, reports, and presentations. Provide timely email and phone communication with internal and external stakeholders.
  • Financial Support: May include, but not limited to, P-card review and reconciliation, expense reimbursement processing. May assist with preparing donor acknowledgement and correspondence.
  • Event Support: May contribute to the logistical planning and execution of meetings, events and programs.
  • Collaboration: May collaborate with colleagues on team-wide or Division-wide ad-hoc projects and initiatives.
  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • Communication: Strong written and verbal communication skills.
  • Customer Service Orientation: Strong customer service skills and the ability to interact professionally with peers, leadership, donors and external contacts.
  • Organization: Proven ability to organize, prioritize, and follow-through on a variety of projects with minimal manager supervision. Strong attention to detail with ability to perform and complete tasks with accuracy.
  • Problem-Solving: Demonstrated ability to identify issues and proactively work to resolve problems.
  • Confidentiality: Ability to maintain discretion and handle confidential information with care.
  • Computer Literacy: Proficient knowledge of Microsoft Office Suite.

High School or equivalent. 1 year of experience required.

Pay Transparency Statement: The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications. $55,700.00 - $63,400.00
