  • This is a part-time (29 hours per week; Tue-Fri), continuing position with salary in the range $102,565 - $111,686 (HEW 7), plus a generous super allowance of up to 17%.
  • Provide crucial high-level executive support, governance, and project management for the ODVCIE, managing a broad and varied portfolio.

About This Opportunity

The Principal Administration Coordinator will provide crucial, high-level administrative, operational, and governance support directly to the ODVCIE. In this varied, fast-paced role, you will apply superior judgment and communication skills to facilitate the functions of the office, including supporting the Aboriginal and Torres Strait Islander Alumni Reference Group (ATSIARG), and preparing essential research, reports, and submissions.

Key responsibilities will include:

Executive Administration and Governance

  • Provide high-level administrative, operational, and governance support to the ODVCIE. This includes serving as secretariat for the ATSIARG, managing associated activities, and representing the office in relevant engagement forums as directed.

Research and High-Level Documentation

  • Undertake thorough background research and analysis of business information for projects. You are responsible for the preparation and review of reports, briefing notes, speech notes, presentations, and submissions for the ODVCIE, ensuring professional quality and accuracy.

HR, Systems, and Administrative Oversight

  • Assist the ODVCIE with critical HR tasks (e.g., position descriptions, appointments, reporting on mandatory training) and supervise the General Services Officer. You will also develop and implement best practice systems and procedures to ensure efficient administrative functions across the portfolio.

Special Projects, and Health, Safety and Wellbeing (HSW) Coordination

  • Manage specific projects such as the Summer/Winter Research Projects for the ODVCIE and Aboriginal and Torres Strait Islander Studies (ATSIS) Unit (from promotion through to payment and reporting).
  • Fulfill the role of the workplace HSW coordinator, ensuring compliance, reporting, and first aid requirements for the Office.

About You

  • Tertiary qualifications and relevant experience (or equivalent combination).
  • Demonstrate knowledge and understanding of the diversity of Aboriginal and Torres Strait Islander identities and cultures, enabling culturally informed support for the ODVCIE.
  • Strong written skills with exceptional accuracy and attention to detail, including the proven ability to synthesize complex information for the development and review of key documents, reports, and submissions.
  • Exceptional interpersonal skills and the ability to exercise superior judgement and discretion when handling confidential and sensitive information. You can communicate effectively, diplomatically, and discreetly with senior staff and key external stakeholders in a fast-paced environment.
  • Demonstrated ability to prioritise your own workload, work autonomously, and meet deadlines. This is supported by a high-level understanding of the University's governance structure and policy framework (or the ability to rapidly acquire this knowledge) and proficiency in relevant computer applications.

You must maintain unrestricted work rights in Australia for the duration of this appointment, and may be required to complete background checks including, criminal history and education checks. Employer sponsored work rights are not available for this appointment.
