The Ross Proctor Coordinator leads the recruitment, training, and oversight of exam proctors to ensure secure, consistent, and high-quality exam administration across Ross. This role is responsible for managing proctoring operations, maintaining exam integrity, and ensuring all testing protocols and accommodation requirements are executed effectively.
In partnership with the Ross Accommodations Coordinator, this position supports the planning and execution of accommodated, regular, and conflict exams. The role serves as a subject matter expert on proctoring processes and plays a critical role in ensuring a smooth and equitable testing experience for faculty and students.
This position reports to the Faculty Support Senior Supervisor and may require evening hours during peak exam periods.
This hybrid position is based in Ann Arbor, MI, with an expectation of a minimum of three days per week on-site. This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of hire and maintain that authorization throughout employment.

Proctor Management (40%)
- Recruit, interview, hire, and supervise a pool of exam proctors.
- Design and deliver training programs to ensure proctors understand and adhere to exam protocols, accommodations requirements, and academic integrity standards.
- Forecast proctoring needs and establish proctoring shifts based on exam demand and complexity; conduct targeted outreach to fill high-need shifts.
- Monitor proctor performance during exam sessions and provide coaching, feedback, and corrective action as needed.
- Approve and reconcile proctor timesheets in Wolverine Access.
- Maintain appropriate staffing levels to support peak exam periods.
Exam Coordination (40%)
- Partner closely with the Accommodations Coordinator to plan and execute proctoring support for all exam types (accommodated, regular, and conflict exams).
- Coordinate exam logistics by communicating coverage plans, connecting proctors and instructors, and sharing approved accommodation information as needed.
- Manage and distribute parking passes and reconcile parking tracking log.
- Develop and manage tools (e.g., SignUpGenius, surveys, tracking systems) to streamline communication and scheduling.
- Maintain accurate records of proctor assignments, exam coverage, and operational data.
- Monitor exam sessions to ensure compliance with established procedures and address issues in real time.
- Identify and implement process improvements to enhance efficiency and service delivery.
Customer Service and Communication (20%)
- Serve as the primary point of contact for proctoring-related inquiries from faculty, staff, and proctors.
- Communicate clearly with faculty regarding exam support, logistics, and expectations.
- Provide guidance and troubleshooting for unique or complex exam needs.
- Build and maintain a reliable, engaged pool of proctors throughout the academic year.
- Collaborate with internal partners to ensure seamless coordination of exam operations.
- College degree or equivalent education.
- Minimum of 3+ years of administrative or operational support experience, preferably in a higher education environment.
- Demonstrated experience coordinating or overseeing the work and performance of others.
- High proficiency with Microsoft Office and Google Workspace.
Salary Information:
The salary offer range for this position is $50,300 to $59,000. Salary offers are determined based on several factors, including a candidate's experience, skills, and qualifications, along with internal equity considerations. It is not common for new hires to be placed at the top of the range.
