Job Description:

  • Remuneration: Level 5 from $88k + 17% superannuation & leave loading
  • Location: Kensington NSW (Hybrid Flexible Working)

Why your role matters

The Program Administrator, Learning Skills is a key role within the Academic Success & Faculty Engagement Team in Student Learning, part of UNSW’s Pro Vice-Chancellor Education (PVCE) portfolio. The position provides day-to-day program administration and communications support for team initiatives, with a primary focus on the university-wide Peer Assisted Study Sessions (PASS) Program, a structured peer-led model that supports student learning, engagement, and belonging.

This student-facing role supports the effective delivery of PASS through coordinating administrative activities, assisting with scheduling sessions, supporting the recruitment and coordination of PASS Student Facilitators, and contributing to communications and promotional activities. Reporting to the Lead, Academic Success and Faculty Engagement, the role will also support other academic success programs as required.

Specific accountabilities for this role include:

  • Develop, maintain and implement effective program administrative procedures and processes for UNSW PASS, ensuring all activities meet deadlines and comply with UNSW guidelines and processes. Act as the first point of contact for PASS participants, maintaining effective channels of communication, analysing correspondence to prioritise and initiate action or escalate as necessary.
  • Coordinate the delivery of PASS sessions, including scheduling and coordination, room bookings and other administrative tasks, to ensure effective delivery of the program.
  • Work closely with the Senior Officer, PASS to support recruitment, training and ongoing liaison with student facilitators.
  • Assist with end of term reporting for PASS and other Academic Success & Faculty Engagement Team programs.
  • Assist the Senior Officer, PASS with class observations and feedback, as required.

About You:

  • Relevant tertiary qualification or equivalent combination of education and experience in program coordination, education, student services or a related field.
  • Demonstrated experience providing effective program administrative support including scheduling and/or timetabling, coordinating multiple staff/volunteers.
  • Strong written and verbal communication skills, with proven ability to build positive relationships with students and professional staff
  • Experience implementing a communications plan to promote a program or service to a diverse audience clearly and so that it resonates with the intended audience.
  • Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines and have attention to detail.
  • Ability to work collaboratively with colleagues from a range of backgrounds, including academic and professional staff.
  • Demonstrated initiative and attention to detail, and ability to work both independently and as part of a team.
  • Experience with Microsoft Office, and familiarity with digital platforms such as Teams, Moodle, Eventbrite, and basic content management systems.
  • Able to create end of term engagement reports on academic success programs using Excel and PowerBI, as well as manage team dashboards and databases.
  • Have completed or be willing to complete PASS Supervisor Training from the Australasian PASS Centre.
  • A commitment to student equity, accessibility, and positive student experiences, and an interest in the education and learning support space, including insights into the students experience and the value of peer networks.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
