The Programme Administrator is a key member of The University of Notre Dame in England (UNDE)’s busy and friendly academic support team, providing high quality administrative support and serving as the first point of contact for students and faculty. Duties for this role include responding to inquiries and being responsible for a variety of tasks and processes in support of the academic programs and of student life in our residence hall.

Key responsibilities:

Administrative support for Undergraduate Programs

  • Ensuring the availability of the Academic Support Office during core opening hours, providing a friendly and helpful point of reference for all students, staff and faculty, and providing mutual support to other team members.
  • Supporting the planning of orientation activities and programmatic and cultural enrichment activities.
  • Accurately recording and monitoring student absences, liaising with faculty, students, and rectors as appropriate.
  • Maintaining online databases; ensuring up to date information is collected termly, and outdated information is disposed of in compliance with GDPR.
  • Assisting with library duties, including shelving & returns; processing orders and new stock; processing old stock and withdrawn materials; preparing materials for the textbook loan service; supporting e-reserves and scanning materials.
  • Tracking and renewing student travel bursaries.

Administrative support for Conway Hall student residence

  • Supporting the Residence Life team to prepare for the start and end of each semester.
  • Checking rental equipment and office supplies and replacing as needed.
  • Conducting pre-arrival flat checks before the start of each semester.
  • Accompanying 2 weekend trips per term plus some evening events to be agreed (time in lieu will be offered).

Essential Skills/Qualifications:

  • Proven experience of working in an administrative role in an office environment
  • Experience of using databases to input data, maintain records, extract information and produce reports
  • Excellent organisational and time-management skills, with the ability to prioritise workload to meet deadlines
  • Excellent communication and interpersonal skills, friendly and professional demeanor
  • Team player with proven ability to work proactively and flexibly
  • Good attention to detail
  • Proficient IT skills (particularly Microsoft Office and Google Suite) and the desire to learn new software/systems as required
  • Integrity and honesty, inspiring confidence and openness amongst colleagues
  • Interest in, or understanding of, the higher education sector
  • Evidenced commitment to equality and diversity
  • Legal authorization to work in the UK is required
