CONTEXT OF JOB:

Created in the spring of 2019, the Graduate College is one UD’s youngest colleges and is responsible for the growth and vitality of our graduate programs and graduate research. The Graduate College is a complex unit engaging with multiple constituencies including the graduate students, postdoctoral researchers, the Graduate College Council, the Faculty Senate, the Graduate Student Government, the deans’ offices of the other eight disciplinary colleges, the program directors of more than 200 graduate programs, alumni, and industry representatives. The Graduate College team provides services and support for over 4,400 graduate students and 270 postdoctoral researchers. These numbers have been growing and will continue to do so through our comprehensive marketing, recruitment, and retention operations. The Graduate College is home to a collection of interdisciplinary doctoral, masters and certificate programs that are wholly managed within the college. Finally, the Graduate College is responsible for managing a variety of fellowships and funding initiatives to foster graduate innovation and transdisciplinary research on campus.

The Program Coordinator contributes to the success and wellbeing of University of Delaware Graduate Students and postdoctoral trainees by planning and implementing a wide range of professional development events and programs and supporting the GSOs. Reporting to Sr. Assistant Dean for Graduate Professional Development, the Program Coordinator works within the Graduate College to meet the needs of internal and external stakeholders, including but not limited to university staff, faculty, alumni, and employer partners.

The successful applicant would have a positive attitude, eagerness to learn and contribute, can manage multiple tasks and priorities simultaneously, and has excellent interpersonal communication skills. The student-facing nature of the role requires that candidates exhibit a professional demeanor and diplomacy as well as the highest standards of integrity and ethics.

MAJOR RESPONSIBILITIES:

Program support:

  • Plan and implement a wide range of events and programs that would help graduate students and postdoctoral trainees build teaching, leadership, personal growth, and wellbeing skills.
  • Manage program logistics to ensure high-quality, impactful events, including but not limited to refining or creating program structure, identifying event speakers, timely promotion of events to target audience, moderating sessions, and conducting end-of-program evaluation and continuous improvement planning.
  • Support various Graduate College-sponsored events such as the Spark! Symposium, New Graduate Student Orientation, Teaching Assistant Orientation, Graduate Student Appreciation Week, Doctoral Hooding Ceremony, and Graduate College Convocation

Administrative support:

  • Serve as a point of contact for the Professional Development team, triage the inquiries, requests, and other stakeholder interactions to the Sr. Assistant Dean
  • Provide outstanding face-to-face and over-email customer service, and communicate directly with graduate students, alumni, employers, and faculty and staff.
  • Monitor professional development team’s general email inbox.
  • Post internship and job opportunities to an internal database system
  • Monitor student applications for internships and fellowships, liaise with employers and campus partners to share application materials and assist with internship and fellowship recruitment and hiring processes.
  • Help curate and update student-, alumni- and employer-facing resources and information such as on the webpage, Canvas site, electronic communications, and documents.
  • Assist with the preparation of marketing materials for various events and services.
  • Assist with projects as assigned by the Sr. Assistant Dean

Student support:

  • Serve as the primary point of contact for the various graduate student organizations.
  • Advise on matters related to governance of and funding for student organizations, route and coordinate issues, problems and concerns raised through GSOs and other student interactions to the Sr. Assistant Dean
  • Research and provide policy recommendations to the Graduate College leadership team regarding accountability, partnership, and collaboration between the Graduate College and the GSOs and Graduate Student Government (GSG), including but not limited to processes and requirements to establish new GSOs and funding procedures for GSOs and GSG.
  • Implement procedural changes affecting GSOs and GSG under the supervision of Sr. Assistant Dean.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree and three years of experience working in higher education and/or educational settings, or combination of education and relevant experience.
  • Excellent organizational and project management skills with keen attention to detail
  • Strong written and verbal communication skills with high degree of tact and professionalism
  • Highly proficient in videoconference tools, Google suite of applications (Google Drive, Docs, Sheets, Forms, Slides) and Microsoft Office suite (Word, PowerPoint, Excel).
  • Ability to work independently and as part of a team and adhere to protocols and procedures.
  • Demonstrated creative problem-solving skills and ability to see projects from conception to completion.

PREFERRED QUALIFICATIONS:

  • Experience organizing, developing, and implementing large-scale, student-facing programs and events in a college or university setting is strongly preferred.
  • Ability and willingness to learn and adapt to new technological platforms.
  • Passion for working specifically with diverse advanced degree students and scholars on career and professional development topics.
  • Knowledge of the challenges of graduate education

WORK FORMAT:

Hybrid eligible with at least 3 days at Newark Campus
