Job Description

The Election Law Clinic offers Harvard Law students the opportunity to do hands-on litigation and advocacy work across a range of election law areas. Reporting to the Faculty Director, the Program Coordinator is responsible for heading the administration of policy, procedures, communications, events, research and paralegal functions, travel coordination, and financial monitoring. Helping to implement the Director's vision, the Program Coordinator will build and maintain partnerships of the Election Law Clinic.

As a Program Coordinator you will:

  • Serve as principal source of information on policy and procedures of the Election Law Clinic including clinical operations liaison for ITS, finance, HR, and the Clinical/Pro-Bono Office.
  • Build relationships with local and national organizations and coalitions, including HLS student groups, using social media and direct outreach.
  • Track legal cases for clinic and triage phone/email inquiries regarding the program and ensure follow-up.
  • Organize, format and proofread manuscripts, course materials and court filings.
  • Provide administrative guidance and assistance including ordering supplies, managing printers, organizing staff meetings, coordinating calendar for Director and other program staff, overseeing paper and electronic files, coordinating all aspects of zoom attendance for travel for students, Director, and guests, manage logistics for in-person events and meetings.
  • Create and maintain communications platforms including Squarespace website and social media pages and write a quarterly newsletter from the clinic to students and alumni. Foster alumni engagement.
  • Process financial transactions for the staff and billing for the program. Assist with the preparation of budget, including tracking and maintaining expenditures.
  • Maintain clinical offices and provide in-person assistance to students and staff at Harvard Law School
  • Organize and administer events on behalf of the Election Law Clinic.
  • Provide research support to clinic staff for ongoing legal matters.
  • May track and manage research assistants and student interns as needed.

Qualifications

Basic Qualifications

Three or more years of related experience. Education beyond high school may count toward experience

Additional Qualifications and Skills

We are looking for people who have:

  • Interest and/or experience in policy work
  • Paralegal background
  • Fluency or working proficiency in Spanish
  • Excellent organizational skills with ability to prioritize work in an environment with multiple and conflicting interests
  • Excellent interpersonal and communication skills
  • Ability to work independently with minimal supervision
  • Proven ability to deal with confidential and sensitive material/information in a professional manner and to handle information with discretion, sound judgment, and attention to detail
  • Knowledge of Harvard resources
  • Familiarity with election law and knowledge of legal and academic research procedures
  • Familiarity with Squarespace website platform and other common digital platforms

Additional Information

Appointment End Date: The is a two-year term appointment with potential for renewal subject to funding and department need.

Standard Hours/Schedule: 35 hours per week; Full-time, M-F.

While the position is based on campus in Cambridge, MA, this role has the opportunity for a hybrid work arrangement (some combination of on campus and remote), subject to business need and manager review/approval. All remote work must be performed within a state in which Harvard is registered to do business (CA, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT and WA).

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
