Job Summary

The College of Professional Programs at Eastern Washington University invites applications for a full time Program Coordinator for the the EWU at Bellevue College (BC) Programs.

Under general direction, this position is responsible for coordinating specialized off-campus program and online operations for the College of Professional programs (CPP). The primary support will be to students and programs involved in the EWU at Bellevue College (BC) program, but additional services will be provided to online students and programs within the college. In this capacity, the position will also provide support to the Directors of involved programs; coordinate special projects; facilitate logistics and interface with Bellevue College; assist with marketing, recruiting, and website management; and provide technical, administrative, and student support services. Position will exercise independent judgment and discretion relating to students in regard to EWU and BC program policies, guidelines, and contracts, and in implementing, interpreting, and applying program procedures and policies. Position will independently advise students, staff, and the public regarding the programs and the University, engaging in recruiting activities, and acting as liaison to local organizations, including BC.

In the course of performing the position’s duties, this position will have extensive involvement with students, staff, and the public in carrying out program activities, and will coordinate, schedule, and monitor program activities to determine consistency with goals. Position reports directly to a designee from the College of Professional Programs.

The salary for this position is $44,868 – $51,612. Where the hired candidate will begin within this range is dependent on education, experience, and skills. Required Qualifications

MINIMUM QUALIFICATIONS:

  • High school graduation or equivalent AND two (2) years experience providing complex program support services involving students (beyond entry level support work)

POSITION SPECIFIC QUALIFICATIONS:

To be considered qualified for this position, you must meet the minimum qualifications defined above, AND you must meet all of the qualifications listed below within this section:

  • Strong computer skills demonstrated by two (2) years successful full-time work experience using a variety of software programs and working in website development and maintenance
  • Two (2) years of full-time work experience maintaining both manual and electronic records and files
  • Two (2) years of full-time, work experience with demonstrated success handling a high-volume of customer service and contacts (100+ daily), including:
    • Communication with a wide variety of customers (such as other agencies, practicum and internship placements, professionals in the community, internal staff/managers/administrators, students, and applicants)
    • Communication must include both verbal, phone, email, and written correspondence
    • Overlapping deadlines and strong attention to detail
    • Perseverance, initiative, and the ability to work well both independently and under direction with frequent interruptions
    • Demonstrated ability to apply a responsive and flexible approach that is supportive of the needs including universal access of our students, faculty, staff and the public

Preferred Qualifications

  • Two (2) or more years college coursework
  • Two (2) or more years work experience in a higher education environment involving student support services, as well as familiarity with institution processes and software
  • One (1) or more years experience using Canvas, EagleNet, Banner, and other university administrative systems (or equivalent)
  • Experience with website and social media development and maintenance
  • Familiarity with the operations of Bellevue College campus

Job Duties

Admissions Percent of Time: 10

  • Meet with prospective domestic and international students to discuss program options at BC and online through EWU and make referrals to other off-site and main campus programs
  • Assist with application questions and documentation for domestic and international students
  • Attend transfer and recruiting events
  • Work with BC to make sure students are coded and given BC ID numbers and access

Advising Percent of Time: 15

  • Assist with student application, admission and registration processes, and progression through the program
  • Provide general education advising
  • Conduct initial meetings with students and refer to appropriate major programs for program specific advising
  • Assist students in accessing services on the main EWU campus and BC campus

Faculty Support Percent of Time: 10

  • Facilitate faculty access to classrooms and technology
  • Assist with hiring paperwork and process
  • Facilitate faculty access to BC systems

Program Coordination Activities Percent of Time: 30

  • Send student EWU at BC ID information to EWU and BC offices
  • Maintain relevant website and marketing materials, including flyer creation, program announcements, and quarterly advertisements
  • Manage social media and canvas pages
  • Facilitate dissemination of program information
  • Track student enrollments and progress
  • Collect and distribute mail
  • Manage and purchase office supplies as needed
  • Assist in writing, completion and presentation of reports, special projects and assignments, and program updates
  • Provide programmatic support to Director(s) including work related to program development, marketing, and implementation
  • Plan and implement student orientations, informational talks, and workshops
  • Plan and implement graduation ceremonies and special events

Coordinate Special Projects and Events Percent of Time: 10

  • Direct and/or coordinate special projects and events, including work of major importance to the program
  • Develop and prepare informational materials designed to inform and recruit student participants; conduct presentations at student recruitment and orientation meetings
  • Attend team meetings; travel periodically to attend meetings and recruiting events
  • Coordinate dissemination of communications
  • Organize and facilitate conferences including preparation of agendas, order of speakers, and length of presentations
  • Maintain program web pages

Program Related Public & Organizational Contact Percent of Time: 10

  • Serve as primary contact with students, faculty, faculty field instructors, and external agencies regarding program policies and procedures
  • Independently advise students, staff and the public regarding the program and the University
  • Initiate, maintain, and distribute student contact information
  • Act as liaison to faculty, staff, and colleagues at other agencies/institutions, representatives of funding agencies and officials from professional organizations, business, industry and government, interpreting policies and making decisions which facilitate progress of project(s)
  • Represent the programs at public, program, and College functions
  • Coordinate program information with EWU programs

Technical & Administrative Support Percent of Time: 10

  • Provide routine support to staff relating to use of hardware and software, assessment materials, networking, setting up computer accounts; includes software unique to the discipline of psychology and practicum and internship placements; refer technology issues/problems to the Office of Information Technology
  • Assist students with EagleNet, Canvas, and web-based and online technologies
  • Provide administrative support to Director(s)
  • Design office procedures, policies and forms including interpretation and application of administrative policies to the work of the program
  • Coordinate administrative standards and procedures for independent yet interrelated departmental functions such as research, curriculum, and instruction
  • Use EagleNet, Banner, Canvas, and other software to assist staff and students
  • Maintain office computers and equipment with support of IT

Other Duties Percent of Time: 5

  • Perform office support functions: order and receive office supplies; book orders (including desk copies); inventory equipment; screen, prioritize and distribute incoming mail; answer, screen and direct telephone calls; compose and edit correspondence including confidential and sensitive information
  • Provide support for travel document preparation and processing
  • Monitor budget(s)
  • Supervise work study students and non-student hourly individuals as needs arise
  • May also manage and schedule the Directors’ appointment calendar, determine itineraries, provide weekly calendar briefings, organize and prioritize incoming email and act as confidential liaison on behalf of Director(s)

Salary Information

The salary for this position is $44,868 – $51,612. Where the hired candidate will begin within this range is dependent on education, experience, and skills.
