Program Coordinator- Student Research / Health Professions
Overview
The Program Coordinator- Student Research / Health Professions will manage systems, communication, and processes to support students participating in summer research and other intensive activities. This person will act as a first point of contact for the office, and is responsible for general operations, fiscal monitoring, projects/events, and management of complex and confidential information. The coordinator needs to have excellent interpersonal skills, be an effective communicator, have excellent organizational skills, and have the ability to balance multiple priorities. In addition, this position will provide support to our Health Professions Advising area.
This is a 1.0 FTE position with the opportunity for a hybrid schedule working up to 2 days per week remotely. Working hours approximately 8:00am to 4:30pm Monday through Friday.

The Office of Student Research and Creativity connects and supports students with opportunities to engage in deep research and work over the summer.
Responsibilities
Student Research and Creativity Support (65%)
- Supports the Faculty Coordinator of the Office of Student Research and Creativity, as well as the Associate Provost, on activities and processes related to student research, including:
- Managing application processes for and advertising opportunities to conduct research with Macalester faculty
- Collecting student applications for Macalester-funded student research fellowships
- Organizing informational workshops for students interested in research experiences
- Facilitating summer professional development programming for on-campus student researchers
- Maintaining Responsible Conduct of Research training records
- Handling expense processing, including reimbursements and invoices, for student research activities
- Manages and coordinates the logistics of the Summer Showcase in-person event with the Faculty Coordinator and MacFest organizers.
- Serves as a point person for the summer student Academic Hiring Process, including housing, budget, student payments, tracking, and communication for programs including but not limited to Student Summer Research and Creativity, Macalester Summer Internship Grants, and Entrepreneurship and Innovation programs.
- Maintains the Digital Summer Showcase Website.
- Maintains web presence, program records, contracts, reports, and administrative files.
- Supports assessment activities.
Health Professions Advising Support (15%)
- Handles administrative and promotional tasks for pre-health events (workshops, Mac2Med, alumni panels, etc.) to drive student engagement.
- Co-manages digital resource platforms, including the Pre-Health Moodle course and program website, to provide students with streamlined access to essential advising materials, upcoming events, and professional opportunities
- Manages up-to-date student lists, ensuring that programmatic updates and health profession-specific information reach the correct student groups consistently, and advisors are providing relevant guidance to students proactively.
- Assists with preparations and logistics for committee meetings related to pre-health student organizations and the faculty health professions advisors.
Additional Support Duties (10%)
- Provides administrative support to the Director of Entrepreneurship and Innovation as they coordinate the Innovation Scholars program and Dojo Explore.
- Works collaboratively with other units on campus, such as the Institute for Global Citizenship, ITS, Facilities, Career Exploration, Business Services, HR, etc. to best meet the needs of students.
Student Employee Supervision (5%)
- Lead the recruitment, interviewing, and hiring process for 2–3 student employees
- Collaborate with colleagues to define student responsibilities, provide ongoing feedback, and conduct regular 1:1 meetings
Other Responsibilities: (5%)
- Completes other responsibilities as assigned.
- Participates as an active member of the team.
- Participates in department and college activities and supports implementation of shared goals and initiatives.
- Provides backup support to other members of the team.
Qualifications
- Bachelor’s Degree or Associate’s Degree preferred.
- 1-3 years experience managing programming and administrative responsibilities in a dynamic environment with multiple stakeholders. Higher education related experience is a plus.
- Ability to organize and prioritize work; work independently as needed; maintain confidentiality; innovate, create and collaborate.
- Proficient with Google Suite: Forms, Calendars, Gmail, Docs, Sharing as well as Web site maintenance and database management.
- Excellent oral and prompt written communication skills. Strong attention to detail, organizational skills and accuracy in financial and data management.
- Excellent interpersonal skills to work with a diverse student body, staff and faculty.
Compensation:
The hourly wage for this position will be $22.85 to $23.89 depending on experience.
