Job Description
Duties and Responsibilities
Essential Duties and ResponsibilitiesResponsible for the management and integrity of all program data, including secure handling of confidential information, data entry, analysis, and reporting, and ensuring compliance with quality assurance and monitoring standards. This assignment is at the South campus and is a grant-funded position.
Characteristic Duties and Responsibilities
1. Maintain complete, accurate, and confidential student records and course history files in compliance with FERPA and Personally Identifiable Information (PII) requirements.
2. Coordinate the collection, verification, and timely entry of student data into the TEAMS system to ensure accuracy and compliance with grant and state reporting requirements.
3. Participate in required staff development and training related to TEAMS and data reporting standards as directed by the Texas Workforce Commission.
4. Assist with preparation for college, state, and grant monitoring visits by compiling documentation, reports, and supporting materials.
5. Serve as the programs PII subject matter expert, ensuring appropriate system access, data security, and compliance with privacy regulations.
6. Provide administrative support by answering phones, greeting office visitors, and sharing general program information with prospective students and community partners.
7. Perform additional duties as assigned by the Director, Dean of Community Education, Associate Provost & South Campus Administrator, Provost/Vice President of Academic Affairs, and the President.

Required:
- Associates Degree.
- 3 years of experience in data entry and records maintenance.
- Must have a valid Texas Driver's License

Personality Requirements:- Ability to maintain excellent working relationships with the program staff and participants.
- Knowledgeable, mature, and concerned with the welfare and academic progress of participants.
- Be bilingual (English/Spanish). Must demonstrate enthusiasm and be a positive role model.
- Must be able to communicate effectively orally and in written form.
- Must be familiar with the Internet, word processing, spreadsheet and power point software.

While performing the duties of this job, the employee is regularly required to sit.
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.
