Description
Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.
1. Plans and develops procedures for administering a large or complex department or program.
2. Manages fiscal activities, including procurement and budget analysis.
3. Provides guidance to subordinate staff and evaluates performance.
4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
5. Creates and reviews reports of expenditures and activities.
6. May administer grants and grant-related related communications, scholarships and other operations.
7. Develops, implements and maintains appropriate policies and procedures.
8. May serve as property custodian for the department.
9. Performs other job-related duties as assigned.
About the Museum
The Blaffer Art Museum is a non-collecting contemporary art museum that serves the University of Houston campus and the broader Houston community. Situated within Houston’s historic Third Ward, the museum has historically offered a dynamic roster of international artists their first U.S.-museum exhibition. Serving a campus community of more than 48,000 students, exhibitions engage with the thematic and research-driven topics relevant to our contemporary world. The museum’s full-time staff includes eight arts professionals and seven student interns.
Summary
Assistant to the Director of the Blaffer Art Museum. Works with Director to manage calendars, travel, and Advisory Board communications. Supports program implementation for major museum programming including exhibitions and public programs, and assists with advancement, including attending donor meetings with the Director and coordinating supporting documentation for development initiatives. Supervises student workers.
Job Duties
- Assistant to the Director of the Museum, managing Director’s calendar, travel, preparation for appointments and meetings, and supporting communication with museum constituents and donors. Drafts routine responses to correspondence as needed.
- Prepares monthly internal museum budgets for review, with the Director. Maintains financial/expenditure files and follows up on vendor inquiries.
- Collects and prepares information for use in discussions and meetings with executive staff members and outside individuals.
- Prepares exhibition contracts, purchase vouchers, travel requests, travel vouchers, and purchase requisitions. Works closely with the ABA and DBA of the Kathrine G. McGovern College of the Arts (KGMCA) to provide financial information in a timely and accurate manner to ensure the effectiveness of institutional operations.
- Serves as Director’s liaison to the Museum Advisory Board, preparing meeting agendas, development initiatives, and meeting minutes. Organizes and attends Advisory Board committee meetings (Events, Strategic Planning, Executive Committee, etc.)
- Leads program planning among Blaffer staff, developing necessary workflow and review plans, as well as coordinating communication with external contractors (artists, educators, community partners).
- Supports grant writing initiatives, under supervision of the Director, and maintains museum grant calendar in dialogue with the Department of Research.
Required Education
• Bachelor's degree, MA preferred
Required Experience
• Minimum of three (3) years of related job experience; may be substituted by related education.

• Comprehensive knowledge of general office administrative tasks and procedures

Primary Work Location

Physical Demands
• Work is usually performed in a typical, comfortable interior work environment which does not subject the employee to any unpleasant elements;
• May occasionally be required to work in inclement weather conditions
• Individual has discretion in relation to walking, standing etc., and has minimal exposure to physical risks
• Must be able to move up to 10lbs
