Description
- Manages the day-to-day operations of a small or medium-sized university program or department. May supervise staff employees, student workers, programs or processes.
- Plans and develops procedures for administering a small or medium-sized department or program.
- Oversees program expenditures and ensures adherence to budget.
- Provides guidance to subordinate staff and evaluates performance.
- May prepare or participate in the creation of abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
- Reviews reports of budgets and activities.
- Prepares ad hoc reports as needed.
- May administer grants and grant-related related communications, scholarships and other operations.
- Develops, implements and maintains appropriate policies and procedures.
- May serve as property custodian for the department.
- Performs other job-related duties as assigned.
MQ
Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.

- Opens mail and completes check deposits
- Monitors incoming donations by all means – Check, Credit Card, EFT, Stock, payroll, etc.
- Performs timely and accurate data entry and updates in CRM in coordination with PM2, PM3
- Updates and maintains data in the CRM related to revenue, biographic, and designation records
- Responsible for documentation of all updates within the CRM for audit purposes
- Utilizes online forms, portals, and applications to access information, prepare data, and manage work.
- Upkeeps documentation of processes
- Submits Journals, Transfer Requests, and Fund Creation Requests
- Ensures compliance based on understanding of IRS and State regulations, CASE and institutional standards
- Manage and complete receipting as determined by Gift Administration Leadership
- Coordinate and manage daily audits of gifts and processes
- Coordinate with departments across the university to ensure timely and accurate reporting
- Ensure tasks are completed through project management system
- Communicates professionally and effectively with colleagues across the System and with donors – phone, email, messaging, and in person
- Reviews all transactions, documentation, and general ledger activity for accuracy, and identifies and corrects issues found
- Answers calls and emails to the department
- Performs reconciliations
- Performs other Gift Administration projects as requested
