Job Summary

The Office of Academic Culture and Community in the Spencer Fox Eccles School of Medicine at the University of Utah is seeking a Program Specialist who will oversee a variety of programs and activities. We are looking for an enthusiastic and organized person who is interested in the planning and execution of events and activities in service of our mission: to create a welcoming and respectful environment in academic medicine for people from all backgrounds, actively recruit and fully foster the development of a work force that reflects our communities.

The Program Specialist will be responsible for coordinating a range of office duties. Coordinating, organizing, and tracking all current and future programming activities for medical and pre-medical students. The Program Specialist will lead in creating, developing, and implementing community outreach programs and services to improve and maintain relationships between the office and the community.

Responsibilities
Program Specialists, IDesign and implement one or more programs for the university that carry out the organization's mission. Set goals for each program. Determine benchmarks for successful and effective programs that achieve intended goals. Ensure that the programs and services provided reflect the needs and expectations of the community. Collect feedback from members, volunteers, and staff to improve future programs/services. Responsibilities may include fundraising, budgeting, and community outreach for assigned program(s). May manage special events that publicize the organization and its programs to the community. Requires basic skill set and proficiency. Conducts work assignments as directed. Closely supervised with little latitude for independent judgment.Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.This is an Entry-Level position in the General Professional track.Job Code: P23711Grade: P13

  1. Oversees administrative matters regarding the day-to-day operations and procedures of an administrative program.
  2. Develops and implements program goals and objectives.
  3. Co-lead and/or support medical student programs and pre-med programs.
  4. To lead the execution, analysis, planning, and evaluation of community event efforts; build strategic relationships within the community; and conduct a variety of outreach activities.
  5. Helps plan and organize events, programs, and community observances throughout the year.
  6. Provides support with community and tribal activities including outreach visits, and engagement with partners, which may include travel to regional communities.
  7. Monitors program quality and effectiveness, prepares reports and shares findings with team members and the academic community.
  8. Coordinate all logistical and scheduling aspects of programs including scheduling appointments, room reservations, catering, ordering supplies for activities, and technology setup.
  9. Participating in program meetings, transcribing minutes, responding to phone calls, and email correspondence, including OACC email account. Distribute minutes to OACC staff.
  10. Support various administrative tasks essential to efficient operations: purchasing and inventory, process payment requests, travel reimbursements, campus orders, and purchase orders as necessary. Track expenses and ensure all supporting financial documents are accurately completed, including financial reports. Enters information into the FMS financial database in a timely manner.
  11. Coordinate and support multiple programs that occur simultaneously and have strict deadlines and being available to make informed, on the spot decisions to ensure activities are executed effectively and efficiently.
  12. Provides support with development of marketing efforts and content for outreach communication and OACC newsletter; supporting social media efforts; creating marketing material; and promoting in a timely manner to community and University partners.
  13. Coordinate arrangements for visiting faculty or invited speakers including travel, hotel, meeting space, honorariums, and schedule.
  14. In coordination with program leadership, prepare, collect, distribute, and summarize surveys and other data to maintain accurate and up to date program records.
  15. Provide administrative support to other coordinators, program manager, director, and deans.
  16. Manage, order, and ensure supplies for the community lounge are consistently stocked and kept up to date.

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Program Specialists, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.

Preferences

  1. Highly effective communication and interpersonal relationship skills.
  2. Demonstrated experience in event planning, logistics management, and execution.
  3. Experience using software/platforms including Zoom, Canvas, PeopleSoft, Qualtrics, Adobe, Microsoft Suites, Google Workspace, social media (Facebook, Instagram), Drupal for website support.
  4. The Program Specialist should be able to work independently and possess strong communication, coordination, and detail-oriented organizational skills.
