We're looking for a Project Administrator to join our Program Development Team to facilitate software tool procurement and help establish processes & procedures to manage a new laboratory being developed at the SEI. Additionally, this role will assist in coordinating the monthly Project Management functions of multiple SEI engagements with U.S. Government customers.

This position is based onsite at our offices in Pittsburgh, PA.

What you'll do

  • Division Process Improvement/Standardization:
    • Work with Division leadership to devise approaches to utilize technology to improve our overall processes
    • Collaborate with Functional Support Groups (IT, Finance, Procurement) on how to improve information flow to/from our Division
  • Data Coordination:
    • Support data calls and reporting across the Division on PWP & financial status
    • Support Division leadership in coalescing inputs from multiple sources into single reports
  • Procurement Support:
    • Collaborate with Project teams to understand user needs and research options to procure tools that meet those needs
    • Coordinate vendor meetings between Technical Staff and potential tool vendors
    • Create and complete various procurement forms and network with procurement and contract teams
    • Update and create Excel and Confluence pages on status of multiple procurement actions
  • Project Management Assistance:
    • Collaborate with Program Managers on process documents and document repositories
    • Support internal and external stakeholder meetings
    • Assist Program Managers with drafting monthly activity reports
    • Provide Project Management support: assist with drafting PowerPoint presentations and process documents

Skills required:

  • Ability to work under pressure; meet deadlines; deal with difficult individuals while maintaining composure.
  • Must have strong customer service orientation and be detail orientated.
  • Strong written and oral communication skills.
  • Strong work ethic and a desire to learn
  • The ability to edit and rewrite content from other one sources to another; experience with Excel, PowerPoint, and Confluence is required.
  • Ability to handle multiple tasks, respond to shifting priorities, and pay careful attention to details.
  • Ability to work in a team environment with technical experts, project managers, and administrative assistants
  • Have the ability to deliver high-quality work and care about the impact.

Requirements

  • Bachelor's Degree, with a minimum of 1 year of experience managing projects in a team environment within a federally funded research & development center (FFRDC), UARC, or national laboratory.
  • Willingness to travel to various locations to support the SEI's overall mission. This includes within the SEI and CMU community.
  • You will be subject to a background check investigation and must be able to obtain and maintain a Department of Defense security clearance.
  • Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over sponsorship of an employment visa for this opportunity.
