JOB TITLE SUMMARY

Job Title: Representative, Academic Services

Division: Academic Affairs

Evaluation Group: Staff

FLSA Status: Non-Exempt

Reports To: Registrar

Positions Supervised: N/A

Job Summary

The academic services representative is responsible for assisting the registrar with processes such as enrollment and adds/drops, major changes, grade changes, and degree verifications. This position evaluates transfer credits and transcribes them in the student information system.

Essential Job Functions and Performance Indicators

The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Employees may be directed to perform job-related tasks other than those specifically presented in this description.

Job Responsibilities and Execution

  • Maintains familiarity with FERPA regulations and privacy laws governing higher education
  • Evaluates transcripts and transcribes credits daily within the student information system
  • Sends transcripts on a daily basis
  • Processes Academic Services forms
  • Performs education verifications
  • Assists with organizing commencement ceremonies, including setup
  • Ensures transfer equivalencies are determined in a timely manner
  • Directs students to the correct office/faculty member for approvals
  • Utilizes university catalogs to answer questions and explain policies
  • Provides support to the registrar
  • Maintains strict confidentiality

Service Excellence

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Interacts professionally with students, faculty, staff, coaches and alumni
  • Provides excellent customer service at the front counter on a rotating basis; duties to include answering questions regarding Academic Services, Student Financial Services (SFS), and the Business Office

Communication, Teamwork and Collaboration

  • Answers questions via phone, email or customer walk-ins
  • Resolves issues for all stakeholders by using efficient communication tools

Required Qualifications – An equivalent combination of education, training and experience will be considered. Additional requirements may be designated by position.

  • Bachelor’s degree

Knowledge, Skills and Abilities – May be representative, but not all inclusive, of the knowledge, skills and abilities necessary to perform this job competently.

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Familiarity with FERPA regulations and privacy laws governing higher education
  • Strong written and verbal communication skills
  • Highly organized and detail oriented
  • Demonstrates consistent logic and objectivity in decision making
  • Computer proficiency, notably with Microsoft Office Suite
