Appointment Type and Duration: Regular, Ongoing

Salary: $57,200 - $65,000 per year, commensurate with experience

Compensation Band: OS-OA06-Fiscal Year 2025-2026

Department Summary

The Ballmer Institute for Children's Behavioral Health at the University of Oregon Portland establishes a new national model for behavioral healthcare for children and families by creating a first-of-its-kind undergraduate training program in child behavioral health.

The institute prioritizes the needs of youth who have been historically or persistently underserved and seeks to make real system change by:
- Creating a new mental health profession
- Delivering support in schools and the community
- Training existing youth-serving professionals
- Developing new approaches to support child behavioral health
- Transforming the Pacific Northwest into a national model of thought and action.

Position Summary

The Ballmer Institute seeks a detail-oriented, adaptable, and organized professional to provide high-level administrative support to faculty, leadership, and sponsored projects. The Research and Business Administrative Coordinator is expected to work independently and exercise critical thinking, sound judgment, and creative problem-solving.

This position is responsible for essential financial, business, regulatory, and administrative services across Ballmer Institute programs and operations. Key responsibilities include post-award grant and contract compliance, full-cycle financial operations, major research purchasing, travel coordination, policy compliance, records retention, event coordination, and special projects.

The role requires interpreting and applying federal, state, and university policies while maintaining accurate financial records using the Banner Financial System and Excel. This includes managing ledgers for grant funds, cost-share funds, matching funds, and other research accounts.

This position involves regular interaction with internal and external partners, leadership, colleagues, faculty, and students.

The position is based in person and is supervised by the Director of Research and Financial Operations.

Minimum Requirements

  • Bachelor's degree in Accounting, Finance, or related field; OR
  • Associate's degree in Accounting, Finance, or related field plus two years of progressively responsible experience in business, finance, or compliance administration; OR
  • an equivalent combination of education and experience.

  • Ability to manage multiple priorities with overlapping deadlines and frequent interruptions while maintaining a high level of customer service.
  • Ability to meet deadlines, anticipate needs, prioritize and follow-through on tasks to completion.
  • Ability to use independent judgment and problem-solving skills to research and resolve questions about grant preparation or post award management of sponsored projects and provide compliant solutions.
  • Strong organizational and analytical skills with close attention to detail.
  • Ability to communicate effectively, including in writing, with a variety of constituents.
  • Ability to engage with those of other cultures or backgrounds as well as to develop knowledge of and respect for those from a broad array of cultures and backgrounds.
  • Commitment to promoting and enhancing diversity.
  • Ability to work independently and collaboratively in a team environment.
  • Experience with Microsoft Office, Adobe Acrobat and Financial Information Systems (such as BANNER).

Preferred Qualifications

  • A Bachelor's degree in Accounting, Finance or other related fields.
  • Two (2) years of experience providing business or research administration.
  • Knowledge of governmental and granting agency regulations pertaining to grants and contracts, and to make recommendations to Principal Investigators to ensure compliance.
  • Experience in developing, editing and reviewing grant proposals and budgets for adherence to Federal, State, Sponsor and University regulations.
  • One or more years of experience managing research or grants in higher education, a research organization, or a related environment.
  • Experience with project planning.
  • Experience with budget and financial management.
  • Experience with travel coordination.
