Essential Job Functions
Position Summary: The Program Assistant provides essential administrative, financial, and operational support to the Research Institute for Environment, Energy, and Economics (RIEEE) and its affiliated centers. RIEEE works with faculty partners across campus to pursue and manage grant funding and related programming. Working under the direction of the Business Operations Manager, this role ensures the smooth execution of business operations, financial transactions, office management, and event and workshop logistics. The Program Assistant also plays a key role in streamlining administrative processes, generating data for reports, and overseeing student office support.
Key Responsibilities:
Administrative and Business Operations Support
The Program Assistant plays a vital role in supporting the daily business operations of
RIEEE and its affiliated centers by assisting with:
- Processing contracts, invoices, and deposits, ensuring timely payments and financial compliance.
- Managing PCard reconciliations, travel approvals and reimbursements, and various purchasing activities.
- Supporting time and leave reporting and payroll processes for institute and center employees.
- Organizing and generating data for reports to assist the Business Operations Manager with budget tracking and fund management.
Program and Event Coordination
The Program Assistant supports the planning and execution of workshops, conferences, and events hosted by RIEEE, its affiliated centers, and faculty partners. Responsibilities include:
- Assisting with event logistics, registration, and scheduling to ensure smooth execution.
- Coordinating internal reporting processes, including event attendance and research impact metrics.
- Supporting communications efforts by curating email distribution lists, drafting email communications and event announcements for dissemination, updating website content, and formatting and/or printing outreach materials.
- Monitoring and supervising the Student Office Assistant, ensuring task completion and operational efficiency.
Office Management
The Program Assistant ensures efficient operation and organization of RIEEE's office space by:
- Procuring, organizing, and maintaining office supplies and equipment, ensuring availability for staff and faculty.
- Coordinating the allocation and organization of office spaces, assisting with office moves, workspace assignments, and resource distribution.
- Tracking and maintaining fixed assets, processing work orders, and ensuring office operations run efficiently.
- Managing the scheduling and use of shared spaces, including conference rooms, meeting areas, and common workspaces to optimize accessibility and efficiency.
Knowledge, Skills, & Abilities Required for this Position
Preferred Qualifications
- Experience in academic, research, and/or grants management environments.
- Experience with Banner Finance, Yo-Mart, and other platforms used for business operations at Appalachian State
- Experience supervising student employees.
- Familiarity with budget reporting processes.
Work Schedule/Hours: Flexible, with regular schedule during normal business hours; occasional evening andweekend work and travel required.
