Why Your Role Matters:
The Executive Assistant (EA) plays a crucial role within the Future Students Office in providing executive support to the Executive Director. Reporting to the Executive Officer and working collaboratively alongside senior management, this role will coordinate executive time, appropriate resources and provide professional documentation support in line with the needs and requirements of the Future Students team and university policies and procedures.
In addition, the EA will work in an agile and proactive way to facilitate everchanging priorities and deliver quality service to all internal and external stakeholders. It is vital that this role responds to complex enquiries using judgement and initiative while using considerable technical skills and discretion when making decisions on behalf of the Executive Director.
Specific accountabilities for this role include:
- Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, interpreting requests and correspondence to prioritise.
- Undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of responses.
- Coordinate expense management in line with the UNSW Expense Policy.
- Coordinate travel bookings, room/facility bookings, catering, stationery and IT equipment requirements in line with UNSW policy and procedures.
Who You Are:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
- Excellent interpersonal skills with ability to liaise effectively with all levels of staff and external stakeholders.
- Advanced level of computer literacy, working with a range of computer systems and applications, including MS Office (Word, Excel, PowerPoint), MS Teams, Adobe Creative Cloud, Trello/Confluence.
- Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
- Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
- An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
