Job Description
The Office of Mission Engagement and Church Affairs (OMECA) advances the University of Notre Dame's Catholic and Holy Cross mission and strengthens the University's service to the Church. Through its leadership and programming, including the Tantur Ecumenical Institute, the Notre Dame Newman Centre for Faith and Reason, the House of Brigid, and multiple leadership and formation seminars, OMECA cultivates mission engagement across the University and beyond.
The Senior Administrative Assistant is a key operational member of the Office and provides comprehensive administrative support to the Vice President and OMECA leadership.
Position Summary
This position is responsible for executive-level administrative coordination, operational support, and office management. The role requires strong organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a mission-driven environment.
Essential Responsibilities
- Provide direct administrative support to the Vice President, including complex calendar management, meeting coordination, preparation of materials, and correspondence drafting.
- Monitor and manage email communications and daily scheduling priorities.
- Coordinate domestic and international travel arrangements.
- Process financial transactions, expense reports, and purchasing activities in accordance with University policies.
- Plan and execute events, ensuring effective logistics and hospitality for senior Church leaders, University leadership, benefactors, and guests.
- Maintain accurate physical and electronic records, including database management.
- Oversee the management and upkeep of the office of the late Rev. Theodore M. Hesburgh, C.S.C.
- Support internal office processes, including allocation procedures related to football tickets.
- Provide administrative support to the Executive Director and other OMECA staff as needed.

Qualifications
- Bachelor's degree required
- Demonstrated experience providing senior-level administrative support.
- Proficiency in calendar management, professional correspondence, and meeting coordination.
- Experience processing financial transactions and expense reports.
- Strong organizational skills with attention to detail and accuracy.
- Ability to interpret and apply policies and procedures.
- Proficiency in standard office software and database systems.
- Familiarity with Notre Dame systems and procedures is preferred.
Additional Information
Hourly rate: Commensurate with experience
