Job Description
The Senior Executive Assistant to the Dean provides high-level administrative and operational support to the Dean of the UMKC Conservatory. This position manages the daily operations of the Dean's Office and serves as a primary liaison between the Dean and faculty, staff, students, university leadership, donors, alumni, and external partners.
The role requires exceptional organizational skills, discretion, sound judgment, and the ability to manage multiple priorities in a dynamic academic and arts environment. The Senior Executive Assistant ensures efficient office operations, supports faculty governance and personnel processes, coordinates complex administrative activities, and represents the Dean's Office with professionalism and accuracy.
Key Responsibilities
- Manage the daily operations of the Office of the Dean to ensure efficiency and effectiveness.
- Coordinate and maintain the Dean's calendar, including scheduling meetings, events, and travel.
- Draft and edit correspondence, reports, and communications on behalf of the Dean.
- Maintain organized and confidential personnel and administrative records.
- Oversee office logistics, supplies, and administrative workflows.
- Independently coordinate faculty searches, including scheduling, logistics, and documentation.
- Support accreditation activities, program reviews, unpaid appointments, visiting scholars, and research associates.
- Oversee faculty performance evaluation processes, sabbatical and research leave applications, and related documentation.
- Serve as Promotion and Tenure Coordinator and MyVita liaison for the Conservatory.
- Research and compile data for reports, course/instructor evaluations, and academic projects.
- Function as the Dean's representative with faculty, staff, students, campus administrators, alumni, donors, and visitors
- Maintain and communicate knowledge of Conservatory and University policies and procedures.
- Work closely with Associate Deans, Division Chairs, and administrative staff to ensure coordination and collaboration across divisions.
- Provide support for faculty and staff meetings and governance processes.
- Assist with planning and coordination of special events, visiting artists, advisory board meetings, and other Dean's Office initiatives.
- Supervise student workers as needed to maintain operational efficiencies within the administrative office complex.
- Manage sensitive and confidential information with the highest level of discretion.
- Identify opportunities to streamline processes and improve office effectiveness.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Several years of progressively responsible administrative experience, including experience providing executive-level support within higher education.
- Experience in an arts, music, dance, theatre, or cultural organization environment.
- Familiarity with academic personnel processes, including promotion and tenure or faculty search procedures.
- Demonstrated ability to manage multiple priorities with accuracy and minimal supervision.
- Demonstrated ability to coordinate complex academic or artistic events.
- Experience handling sensitive and confidential matters with sound professional judgment.

Anticipated Hiring Range
The anticipated hiring range for this position has been established as $52,915 - $60,000 annually.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
