Your new team – Student and Scholarly Services
Student and Scholarly Services provides student administration and services from recruitment and point of enquiry to graduation. This team also delivers well-being and scholarly services to students and staff.
This role sits within the Graduations & Examinations team, which works to align systems and data, operations and event logistics to deliver high quality events on behalf of the University. The key deliverables include Examinations, Graduation Ceremonies, and Melbourne Commencement Celebrations.
Exams take place across 6 annual periods, including:
Commencement Celebrations are held over a 5-day period in February.

As a Senior Student Administration Officer, you will play a pivotal role in orchestrating large-scale events such as exams and graduations, impacting thousands of students annually. You will have the opportunity to refine processes, manage data, and engage with stakeholders across the University, enhancing the student experience through your expertise in administration and service delivery.
Your responsibilities will include:
- Lead Event Coordination: Manage monthly conferral activities for 20,000 graduating students and support examination timetabling.
- Innovate and Improve Processes: Initiate projects to enhance conferral and testamur processes, and develop knowledge base articles.
- Foster Collaboration: Build effective relationships with University staff, providing guidance and training on Exams & Graduations services.
- Ensure Quality and Compliance: Adhere to the University's risk management framework and contribute to service improvement suggestions.
You will have a strong background in administration and event management, with excellent interpersonal skills and a commitment to continuous improvement and student-centred service delivery.
You will also:
- Have undergraduate qualifications in a relevant discipline or equivalent experience.
- Be proficient in Microsoft Office and adaptable to new software solutions.
- Possess strong interpersonal skills to interact effectively with diverse stakeholders.
- Demonstrate experience in event and project management with a focus on timely deliverables.
- Have advanced Excel skills and a keen eye for data management and quality control.
