Overview

Provide administrative support and database management to the Senior Director of Annual Giving, in support of specific initiatives as well as the Annual, Leadership, and Class Giving staff.

Duties and Responsibilities

  1. Perform basic and intermediate computer functions including managing databases creating, analyzing and integrating spreadsheets, executing mail and envelope merges, recording information in data system, and importing graphics and other information into documents. (35%)
  2. Support logistics and assist with the management of reunion, class-based, young alumni, and undergraduate volunteers engaged with Annual Fund committees and programs, including but not limited to maintain and disseminate reports, regular database entry, web page upkeep, and committee communications (i.e. conference calls, in person meetings, webinars, and social events). (30%)
  3. Interact with constituents, prospects, and volunteers via phone, e-mail, and web; field questions; book gifts; respond to web comments and inquiries; and distribute mail appropriately. Attend, staff, and play an active role in signature College events, including but not limited to; Homecoming, Giving Tuesday, Friars Give, Reunion Weekend, etc. (15%)
  4. Produce correspondence and documentation through typing, word processing, formatting, use of charts, graphs and other visuals, collating, photocopying, binding, etc., according to the standards of the department and College; proofread for content, language, and grammar. (10%)
  5. Support frontline fundraisers with booking travel, distributing itineraries, updating contact reports, and submitting travel reimbursement documentation. Organize and maintain calendars, files, and records that may include confidential information. (10%)

MARGINAL DUTIES:

  1. Perform all other duties as may be required.

Education and Experience

  • High School education or equivalent.
  • One to three years’ experience in an office environment, or an equivalent combination of education and experience.
  • Working knowledge of word processing and database systems required.
  • Excellent organizational and communications skills also required.
  • Ability to work under deadline pressure and to prioritize assignments while juggling multiple tasks.
