Oversee billing, payment posting, refunds, and reconciliations through Banner, Cardinal, and approved third-party payment systems.Ensure the accuracy and integrity of student account data.Establish and maintain billing schedules, due dates, and refund practices in accordance with institutional policy.Collaborate with campus partners to promote a positive student experience.Collections & Cash Management- Develop and oversee collection strategies for delinquent accounts.
- Monitor accounts receivable aging and authorize collection activities.
- Manage relationships with collection agencies and payment service providers.
- Serve as the College's designated administrator for the Commonwealth Debt Set-Off Program.
- Review collection, payment, and deposit reports to ensure compliance and accuracy.
Financial Reporting & Analysis- Prepare quarterly accounts receivable reports for submission to the Virginia Department of Accounts.
- Perform complex reconciliations across financial and student information systems.
- Analyze trends and outstanding balances to identify risks and opportunities for improvement.
- Develop recommendations to improve collection performance and reduce write-offs.
Compliance & Process Improvement- Develop and maintain accounts receivable policies, procedures, and standard operating practices.
- Support internal and external audits, including ARMICS compliance activities.
- Review and strengthen internal controls.
- Lead testing and implementation of process improvements to increase efficiency and effectiveness.
Minimum Qualifications- Degree in Business, Finance, Accounting, or a closely related field, or an equivalent combination of education and experience.
- Experience in student accounts, accounts receivable management, collections, or financial operations.
- Experience handling cash transactions, reconciliations, and reporting requirements
- Strong analytical, problem-solving, and reconciliation skills.
- Excellent customer service experience.
- Strong interpersonal, written, and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines while maintaining a high level of accuracy and confidentiality.
