Job Description
The Assistant, Student & Academic Services provides administrative support to the Office of Student & Academic Services and the Law School community.
Key responsibilities include answering the office's phone and emails, including learning policies and following up with students as needed. When required, the Assistant will work with staff in other offices to ensure students' questions get answered and connect students to resources at the Law School and across the University. In addition, they will help with scheduling events, interviews, and meetings, updating the website, filing and pulling documentation as needed, and resolving problems related to the department on campus as they arise. This position manages the electronic filing system for student records. In addition, the Assistant may be asked to process department invoices and expense reports into PS Financials.
This role reports to the Law School's Registrar, and key responsibilities include but are not limited to the following:
General phone/email support (30%)
- Helps answer general advising, other academic and personal questions that come to the main Student & Academic Services inbox and/or in person from students.
- Answers office phone, follows up on voicemails, and connects students, as appropriate, to resources within the law school and University.
- Stays up to date on academic policies and procedures and answers related student questions.
- Helps ensure that necessary correspondence for student actions such as student letters of good standing, letters of recommendation, 3:03 certification letters, letters for permission to visit away, letters for permission to transfer, health related letters and parking related letters are completed and filed according to department policies.
General administrative support (30%)
- Helps with filing and pulling of documentation as needed
- Serves as general office manager related to the Student & Academic Services space, orders supplies, etc.
- Manages the electronic filing system for student records.
- Organizes mail in the mailroom and sends packages when needed
- Serves as a collaborative team member of the office and the law school participating in projects, reports/analysis, new initiatives and programs, and school-wide programming. Supports the needs of the Office of Student & Academic Services as assigned.
Scheduling and supporting events (30%)
- Schedules meetings, interviews, and other small events.
- Assists with office programs and events such as pre-orientation, orientation, and commencement.
- Supports student organizations in the event planning process and oversees the student event calendar.
- Works with leaders of student organizations to give p-card payment information and track purchases. 30%
Financial tracking (10%)
- Processes department invoices and expense reports into PS Financials.
- Track student organization expenses and manage the P-Card
Full-Time Equivalent Hiring Range: $43,900 to $54,850; salary commensurate with relevant experience.
Requirements
Experience:
- One to two years relevant customer service/administration experience preferred.
Education:
- Bachelor's degree preferred.

- Excellent communication (both verbal and written), organizational and interpersonal skills
- Ability to manage multiple competing priorities under strict deadlines.
- High client service skills and demonstrated commitment to providing responsive, positive, and effective support to a constituency including students, faculty and staff.
- Self-motivation and ability to work independently while also working collaboratively as a member of a team.
- Computer and systems proficiency with particular expertise in Google Docs and Sheets, Microsoft Office, especially Excel, and the ability to learn new technologies, software, and applications.
- Ability to learn new software is a plus
