HR/Operations Coordinator - 80469BR
Job Summary
This position will report to the departmental HR Liaison but interact with all faculty, postdocs and staff of the approximate 170+ person Institute for Neurodegenerative Diseases (Organized Research Unit), as part of a small departmental HR-Admin-Operations team. This position will also interact with HR Service Center alongside HR Liaison as main point of department contact. This position will manage staff advancements (reclassification, step increase, retention efforts), departmental salary equity, and visa sponsorship. This position will oversee staff recruitment and hiring processes, new hire orientations, and postdoc tracking and renewals. The individual in this role will advise supervisors and hiring managers on job description development, hiring processes, recruitment options, equity and salary setting, advancements, performance management procedures, HBS timesheet approval, annual PE process, and other staff employee related questions as needed. She/he/they will analyze, prioritize, and delegate incoming HR-related inquiries and requests from staff, students, and faculty. The individual will use sound judgement in determining appropriate action and seek advice from the HR Liaison as needed. The individual will perform department HR procedures, following university policy, using UCSF systems including PCMA, HBS, Bearbuy, MyExpense, Connexxus, APRecruit, BrassRing, Advance, and ITFS. The individual must interact effectively with faculty, staff, visitors and other campus and community representatives, while remaining composed, proactive, resourceful, professional, and efficient. She/he/they must be well organized, flexible, responsive, and productive for a large and diverse group. Alongside the IND HR Liaison, this position will train and mentor current and future HR-Admin team members. The individual will cover for the HR Liaison when she/he/they is away from the office. This individual must recognize, handle, and protect confidential HR-related information.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $75,700 - $123,100 (Annual Rate).

Department Description
The Institute for Neurodegenerative Diseases (IND) at UCSF is pursuing a cutting-edge blend of basic science and clinical medicine to provide outstanding care to those suffering from neurodegenerative diseases. Founded in 1999, the IND is committed to creating therapeutics that will halt diseases such as Alzheimer’s, Parkinson’s, Creutzfeldt-Jakob disease and dementia resulting from traumatic brain injuries. The IND is poised to make serious contributions to this struggle at the frontier of neuroscience and medicine. The mission of the Institute for Neurodegenerative Diseases is to discover causes and develop cures for these illnesses with an innovative program of basic research and clinical medicine. The IND is directed by Nobel Laureate Stanley B. Prusiner, MD.
Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training
- Minimum 3+ years of related experience
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
- Knowledge of a variety of administrative operational activities such as drafting job descriptions, expense guidelines and processing, requirement and hire requests, and onboarding processes. event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
- Solid knowledge of common University-specific computer application programs, including PCMA, MyExpense, AP Recruit, Connexxus, and HR Reports
- Ability to use discretion and maintain confidentiality
- Strong skills in short-term planning, analysis, problem-solving, and customer service
- Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
- Ability to work effectively with demanding timeframes and changing priorities
- Strong skills in general computer application programs, including Microsoft Excel, Microsoft Office, and Adobe Acrobat
Preferred Qualifications
- UC HR-related work experience
- 3-5 years of HR or operations experience
- UC HR or Operations experience
- Knowledge of J-1 and H-1B visa processes
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
