Description

This position will serve the Athletic program with managing purchases, meals/travel and budget. Coordinate travel

schedules by team, transportation requests, hotel room blocks for team travel and meal requests for off campus travel.

Examples of Duties

Will manage travel and expenses, including review and approval of travel expense reports, ensure compliance of all transactions. 

Will be responsible for working closely with the Pcard Manager on the implementation of the Travel/Expense System being implemented in the Fall 2024 to ensure the needs of the athletic program are considered and training is implemented for

all coaches.

Responsible for budget management and working directly with the VP Athletics on cost-benefit analysis.

Submit travel expense reports for team travel.

Develop desktop procedures and resources for all related processes.

Responsible for training and troubleshooting directly with coaches on the travel and expense processes.

Ensure receipts are uploaded weekly for all travel and expense, follow up with coaches, as needed.

Communicate with the coaches and develop effective means to determine the needs of each sport and coordinate logistics effectively and efficiently.

Initiate requisitions in a timely manner for all purchases.

Obtain quotes/best pricing for hotels, coordinate all room blocks, payments to ensure a smooth check in process when team arrives and throughout their stay.

Coordinate reservations, agreements and payment for all field/gymnasium use.

Transportation – obtain best pricing, manage reservations and process payments in a timely manner.

Meals – coordinate meal requests, as needed with the NCF Food Service provider for to-go meals, when needed.

Work closely with Manager, Sourcing and Contracts for all athletic related.

Ensure compliance with threshold requirements for travel and general expense spending.

Manage budgets by sport, provide reports as needed.

Provide support and training for the Travel and Expense Platform being implemented in Fall 2024.

Stay current with existing and new policy matters of the State of Florida, Board of Governors and College regarding the acquisition of goods and services.

Minimum Qualifications

Bachelor’s Degree


Preferred Qualifications

3-5 years of experience with travel programs or related environments.

Experience with Ellucian Banner module or another ERP system

Experience with travel expense reports and/or travel expense systems

Knowledge of accounting principles
