PURPOSE

The Application System Administrator is responsible for the effective provisioning, installation/configuration, operation, and maintenance of applications systems, this includes researching new patches and software releases, testing and applying software updates, and configuring new features. The role also involves maintaining relationships with vendors while ensuring that software systems and related procedures enhance and support our institutional goals.

RESPONSIBILITIES

Functional Areas #1: System Analysis and Design

Percent Effort 35%

  • Responsible for applications dealing with application systems, including network integration, sophisticated routines, file maintenance, and advanced software packages on Linux and Windows server-based applications.
  • Recommends and implements standards, policies, and procedures to achieve agreed-upon service levels by tuning, maintaining, and supporting a breadth of application infrastructure including performance, backup, recovery, and archive functions.
  • Coordinates product-specific version upgrades, tests technical changes to a product including identifying and recording gaps between business requirements and product functionality, and alternative workarounds based on technical feasibility.
  • Installs, configures, plans lifecycle replacement, coordinates outages, and performs performance tuning for ERP applications and associated hardware.
  • Ensures system uptime, security, identity management, and auditing compliance.

Functional Areas #2: Application Administration

Percent Effort: 30%

  • Provides design recommendations and expertise regarding the integration and architecture of ERP systems and peripheral applications including assisting/supporting customers, developers, and partners with design decisions.
  • Utilizes configuration management to maintain continuity between development and production systems.
  • Coordinates the creation of environments for testing and development purposes.
  • Ensures production and test/development environments are kept in sync.
  • Accurately and effectively documents processes, procedures, and all changes to systems (including security) for auditing purposes.
  • Responsible for granting, monitoring, and reporting on access.
  • Coordinates and implements security measures to safeguard information ensuring security requests have proper (system owner) approval (User account verification, maintenance, troubleshooting).
  • Plans, implements, upgrades, or monitors security measures for the protection of ERP systems and information.
  • Ensures appropriate security controls are in place that will safeguard digital files and vital electronic infrastructure.
  • Manages lifecycle of ERP systems and related applications, ensuring timely updates and replacements.

Functional Areas #3: Monitoring and Maintenance

Percent Effort: 25%

  • Maintains monitoring and data gathering systems for reporting and performance purposes.
  • Works with vendors to address and resolve problems.
  • Modifies/maintains updates and/or patches of ERP applications using releases and utilities from the manufacturers.
  • Applies and tests the technical aspect of product-specific patches and fixes as they are released.
  • Ensures high availability and performance of ERP systems, proactively addressing potential issues.

Functional Areas #4: Other

Percent Effort: 10%

  • Proactively learns and utilizes new technologies, concepts, and procedures as appropriate to project requirements.
  • Reads manuals, periodicals, and technical reports to learn how to develop programs that meet staff and user requirements.
  • Adheres to internal controls established for the department.
  • Performs other related duties as required.

REQUIRED QUALIFICATIONS

Systems Administrator I

  • Bachelor’s degree in an applicable field.
  • Two years of related experience.
  • Entry-level position focusing on basic support tasks such as routine maintenance, patch application, and user support. Assists in monitoring system performance and resolving minor issues.

Systems Administrator II

  • Bachelor’s degree in an applicable field.
  • Three years of related experience.
  • Intermediate position responsible for more complex tasks including system configuration, testing new features, and coordinating with vendors for support and upgrades. Supports primary administrators in ensuring system stability and performance.

Systems Administrator III

  • Bachelor’s degree in an applicable field.
  • Five years of related experience.
  • Advanced position with increased responsibility for system design, integration, and architecture. Plays a key role in planning and executing major upgrades, managing system security, and ensuring compliance with institutional policies. Provides leadership and mentorship to junior administrators.

System Administrator IV

  • Bachelor’s degree in an applicable field.
  • Eight years of related experience.
  • Senior-level position acting as the primary administrator. Responsible for strategic planning, high-level troubleshooting, and overall system health. Manages the entire lifecycle of the system, ensuring optimal performance, security, and compliance. Coordinates with senior management and other departments to align the systems with institutional goals.

PREFERRED QUALIFICATIONS

  • Experience in higher education including demonstrated knowledge of higher education organization structure and business practices and the associated systems and platforms (Student Information Systems, academic advising, student recruitment).
  • Experience with institutional software solutions for identity management and document management.
  • Experience with the administration major institutional applications used in/for Higher Education (e.g., Banner, Argos, Laserfiche, Canvas, Csgold, Salesforce, TargetX, Data Warehousing).
  • In-depth knowledge of SLES (SUSE Linux Enterprise Server), Windows Server, and clustered computing environments.
  • ITIL certification.

Equipment

  • Smartphone, standard office equipment and applications, servers, database management system software, database user interface and query software, and/or object or component-oriented development software.

Working Environment

  • Standard office environment. Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
