Position Summary
This position is responsible to supervise, monitor, schedule and coordinate all projects required by the faculty, department chairs, and committee chairs and members in their efforts to educate students and develop professionally. The Faculty Service Coordinator is responsible for supporting faculty members in one or more assigned departments. The Coordinators work as a team and provide backup and cross-department aid as needed to best support the faculty and academic program needs of the University.
Faculty Service Coordinators must develop a broad knowledge of campus programs, policies, and procedures in order to serve as an effective resource to faculty in a variety of functional areas.
This position reports to the Associate Provost. The incumbent is responsible to hire, train, and oversee student employees who assist the Coordinator and provide departmental coverage when the Faculty Service Coordinator is unavailable (i.e. during evening office hours, semester breaks, etc.).
This work involves the exercise of independent judgment and resourcefulness, as the Faculty Service Coordinator provides support to assigned faculty. The incumbent keeps the Associate Provost, or their designee, informed of changes, problems, concerns, and needs of the faculty and individual departments. The Coordinator monitors changes in department workflow to alert administration and recommends departmental policy and procedural changes to increase productivity.

Principal Accountabilities
Effectively plans, organizes, schedules, and completes a large volume of work in diverse functional areas, which may include search committee coordination, travel arrangements, classroom and exam preparation, preparing and proofreading manuscripts, and processing expenses (check requests, faculty travel authorizations and reimbursements) utilizing the Banner Program, as required by assigned department chairs and faculty within specific time constraints.
Maintains informational and updated files for department chairs and committees so that information can be retrieved efficiently.
Hires and provides ongoing training while developing work schedules for student employees to ensure that the suite has appropriate coverage during both core business hours and after hours.
Serves as the first point of contact and liaison on behalf of departments, chairs, and faculty, effectively interacting with students, administrators, visitors, and the business community to reflect a positive image of the University.
Maintains an adequate level of supplies to meet department needs and oversees the maintenance and utilization of office equipment in assigned area. Also responsible for processing requests for textbooks, guides and manuals.
Undergoes periodic training in key activities such as processing of invoices, purchase orders, reconciliation of faculty procurement cards, and fiscal year-end requirements.
Demonstrates flexibility in providing related administrative and office support for faculty.
Performs related duties as assigned.

Qualifications
This position requires an individual with strong administrative and office management skills, experience processing invoices and purchase orders, and at least 3-5 years of experience (preferably in a higher education environment). The ideal candidate should have demonstrated organizational, communication, and interpersonal skills. Demonstrated computer skills, including proficiency in Adobe, Microsoft Office (Word, Excel, PowerPoint), and Outlook is required. Demonstrated experience planning, organizing ,marketing and managing special events is preferred. Experience with Banner is required. Attentiveness to detail and the ability to independently prioritize and follow through, schedule and complete multiple projects with varied schedules required.
