Responsibilities

The Tour Program Associate provides support to the Education department with a focus on Tour Programs.

Typical responsibilities:

  • Assists with day-to-day organizational and management practices to carry out policies and procedures for the Tour Program.
  • Works interdepartmentally with others in the development of guided tour program policies, volunteer guide training, and performance management of the volunteer guide corp.
  • Coordinates school and community group tour visit logistics including: communicates with teachers and/or administrators and confirms dates, times, number of students/participants, and identifies any special needs or requests and informs appropriate Education staff member; enters tour information and updates the school tour, shared events, and guide calendars with details; compiles group packets prior to visit.
  • Plans, implements, and oversees volunteer guide tour scheduling in all Museum venues.
  • Serves as the primary liaison between Admissions, Security, Visitor Services and the volunteer guide corps.
  • Facilitates communication between the Museum and volunteer guide corps through the creation and distribution of regular email updates.
  • Creates and maintains regular statistical reports on volunteer guide activity in Tessitura, Volgistics, and Microsoft Excel.

As needed this role includes filling in for guide no-show tours, managing intake for new guide classes, working with the Museum Education and Training Specialist to plan guide trainings and events, maintaining the Volunteer Guide Handbook, and facilitating annual guide assessments.

Qualifications

  • Bachelor's degree or a combination of post-high-school education and experience equal to four years.
  • Valid driver's license or the ability to obtain one prior to hire.
  • Ability to stand and walk for long periods of time and ascend/descend stairs.

Preferred Qualifications

  • Knowledge of Volgistics or Tessitura
  • Applicable computer applications and basic computer functions to include Microsoft (Excel, Outlook, Word) and Zoom.
  • Ability to prioritize, organize and perform multiple work assignments with a high level of attention to detail; work effectively in a team environment; communicate effectively and professionally; problem-solve; assist in planning events and trainings.
