Position Overview
Position Summary:
Under the general direction of the Golden Student Success Center Coordinator (GSSCC), the Administrative Office Coordinator performs a variety of administrative and clerical duties in support of the day-to-day operations of the Tutoring and Supplemental Instruction/Golden Student Success Center, exercising independent judgment and initiative.
Requirements
Duties and Responsibilities:
- Perform a variety of administrative and clerical duties in support of the day-to-day operation of the unit, including but not limited to typing, filing, verifying information, coordinating the flow of documents, and scheduling events and meetings
- Coordinate and prioritize clerical workflows to align with unit goals and operational needs
- Assist the (GSSCC) in retention activities by supporting outreach, tracking, and engagement efforts for at-risk students identified through Early Alert
- Use discretion and independent judgment in management of the (GSSCC)'s calendar, including scheduling and coordinating meetings, appointments, and travel as necessary
- Monitor and maintain records of student employees/clients and services provided
- Monitor and respond to emails, providing information on programs, policies, and staff assignments
- Assist at the Hound Hub as needed
- Maintain accurate records of all checked-out equipment, ensuring proper tracking and timely return
- Assist in reserving meeting rooms and setting up equipment when needed
- Assist with purchasing materials, equipment, and supplies, including the preparation and processing of requisitions, ensuring compliance with university policies and notifications.
- Assist with referrals to other student services
- Create signage for events that are reserved through the Golden Student Success Center
- Assist with arranging furniture in the facility when needed
- Assist Greyhound Guides with set-up and take-down events
- Troubleshoot when electronic devices used in meeting areas have problems
- Operate a computer to enter data, compile and type reports, prepare letters, and general correspondence
- Monitor departmental budget(s) and perform routine record keeping duties
- Serve as a liaison with other departments on basic administrative and/or operational matters
- Greet and direct visitors, and when appropriate, resolve routine problems and answer inquiries concerning activities and operations of the department(s), accept, screen, and route telephone calls, and maintain a log of inquiries as required
- Submit work orders and helpdesk tickets for the facility as needed
- Assist the (GSSCC)in overseeing the functional activities of student employees
- Assist in organizing and training student employees
- Regular and predictable attendance required
- Perform other job-related duties and projects assigned in support of the University's mission, core values, and goals.
Minimum Job Requirements:
A high school diploma or equivalent certificate and a minimum of three years' experience directly related to the duties specified are required.
Knowledge, Skills, and Abilities:
- Thorough knowledge of office management policies, methods, and procedures
- Ability to independently interpret a wide variety of policies and procedures
- Ability to communicate effectively, both orally and in writing
- Ability to write clear and concise reports
- Ability to enter, gather, and complete routine assignments independently with general instructions
- Ability to establish and maintain cooperative working relationships with faculty, administrators, and others
- Ability to work in an environment of constant interruptions via telephone and walk-in traffic
- Ability to perform routine and moderate department operational tasks rapidly and accurately
- Skill in the use of standard office equipment
- Ability to perform basic bookkeeping procedures
- Ability to maintain confidentiality of records and information
Working Conditions
Physical Demand and Working Conditions:
Work is performed during normal work hours but may require some evening or weekend hours. Work is sedentary in nature, which at times requires exerting up to 25 pounds of force occasionally and/or a consistent amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
