Academic Program Specialist - School of Music

Job Summary:

The Academic Program Specialist is responsible for providing support for curricular initiatives and policies; serving as the class schedule builder and provides assistance to the Music Education Program.

Duties & Essential Job Functions:

  1. Facilitates program objectives for the School of Music by providing support for curricular initiatives and policies.
  2. Provides administrative support for non-music majors within the department by coordinating the department’s permission number process, communicating various requirements, answering questions, processing electronic academic forms, and keeping necessary records.
  3. Develops and monitors course schedules and room assignments within the department. Assists department Faculty with their course rotations. Serves as a liaison to the Registrar’s office to work through any issues that arise with room assignments and courses.
  4. Coordinates record-keeping for the College of Education Teacher Certification program. Acts as the point of contact for Music Education students by: reviewing fieldwork forms up to their year of clinicals, advising on form errors and upcoming deadlines, and communicating changes to TAC requirements.
  5. Coordinates department faculty moves in and out of classrooms, as well as department-level onboarding and offboarding for new and exiting employees.
  6. Maintains webpages, and SharePoint sites for department by creating and updating content; identifying and resolving issues; and implementing results.
  7. Serves as the point-person for student, faculty, and quest performance and event programs.
  8. Maintains staff confidence and protects operations by keeping information confidential. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks.
  9. Performs other related duties as assigned.

Required Education & Experience:

  • Bachelors’ degree and 2 plus years’ program coordination experience.
    OR
    High school diploma or GED and 6 plus years’ program coordination experience.

Preferred Education & Experience:

  • Background in music, education, or music education.
  • Experience working in a higher education environment.

Required Licensure/Certification/Specialized Training:

None

Preferred Licensure, Certification, and/or Specialized Training:

WordPress, Microsoft Excel, and/or Microsoft Word certifications.

Knowledge, Skills & Abilities:

  • Knowledge of customer services techniques.
  • Knowledge of strong people and organizational techniques.
  • Knowledge of research techniques.
  • Knowledge of interpersonal communication techniques.
  • Knowledge of department specific computer software.
  • Knowledge of curriculum and degree requirements.
  • Knowledge of university programs.
  • Skilled in some or all components of Microsoft Office.
  • Ability to balance multiple projects simultaneously.
  • Ability to be detail-oriented.
  • Ability to assume administrative functions and make independent decisions regarding daily activities.

Physical Requirements (With or Without Accommodations):

  • Visual acuity to read information from computer screens, forms and other printed materials and information.
  • Able to speak (enunciate) clearly in conversation and general communication.
  • Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
  • Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
  • Lifting and moving objects and equipment up to 10 lbs.

Work Environment:

  • Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
  • This role is an on campus, in-person position.
  • There are no harmful environmental conditions present for this job.
  • The noise level in this work environment is usually moderate.
