ABOUT THE COLLEGE

Palo Verde College is a publicly supported 2-year college located in the beautiful Southeastern California desert. Yearly enrollment is approximately 7,000 students (full and part-time).

LOCATION

Palo Verde College is located in the City of Blythe at one of the busiest entrance points to California. The college is located in a desert oasis adjacent to the beautiful Colorado River and the Palo Verde Valley. Blythe, and the fertile Palo Verde Valley, is primarily a farming and ranching area. Boating, fishing and hunting attract many tourists. The Palo Verde Valley is centrally located between Phoenix and Los Angeles, Las Vegas and the Mexican border. The valleys great climate, with more than 350 days of sunshine and mild winters, attracts thousands of winter visitors every year.

NATURE OF THE POSITION
Under the supervision of the Dean of Instruction, or designee, the Academic Scheduling and Support Coordinator provides day-to-day leadership and support for assigned instructional programs and services with a commitment to student-centered learning, collaborating closely with faculty and staff to achieve student success goals; coordinates with faculty and administration on planning, program development and review, budgeting, and evaluation of faculty and staff; and coordinates schedule planning and development. Requires a high level of confidentiality, attention to detail, and advanced organizational skills to support the academic mission and ensure a seamless integration of curriculum and instructional services. The Academic Scheduling and Support Coordinator supports District-wide initiatives to promote education through an equity mindset and the integration of inclusive, culturally competent practices across the institution.

Examples of Duties

DUTIES AND RESPONSIBILITIES
1. Works with administration and academic departments to develop, schedule and maintain class schedules each semester (including typing schedules, contacting potential instructors, scheduling classrooms, and related instructional services).
2. Monitors and tracks classroom usage, room assignments, and course conflicts to optimize scheduling.
3. Supports the onboarding and professional development of faculty, ensuring alignment with curricular needs.
4. Oversees the preparation of the Curriculum Committee Agenda and Minutes; ensures the curriculum information on the website is up to date.
5. Manages and leads the preparation and dissemination of the college catalog.
6. Collaborates with division chairs and academic leaders on faculty evaluation processes, providing support for performance reviews
7. Calculates and reviews course and instructor load and full-time faculty overload pay for accuracy within contract and legal guidelines; process part-time faculty teaching agreements.
8. Maintains detailed, accurate, and organized records for auditing purposes and compliance with institutional and regulatory standards.
9. Serves as the liaison between the college and external regulatory bodies, including maintaining accurate records of program and course approvals.
10. Provides leadership and technical support for campus academic support projects for faculty, staff and students involved in these activities.
11. Independently manages specialized functions or projects as assigned; makes decisions in accordance with State and federal laws and regulations, policies, and procedures, and applies them to problem situations.
12. Monitors and accurately interprets, explains, implements, and articulates compliance with all District, State, and Federal standards, requirements, laws, codes, rules, regulations, and policies; provides updates and recommendations for changes in policy and procedure as needed to reflect current laws and practices.
13. Supports, and promotes compliance with the Districts Equal Employment Opportunity (EEO) Plan in all aspects of employment and education; champions diversity in staffing and curriculum to foster an inclusive educational environment; supports District efforts to increase campus-wide commitment to diversity.
14. Supports initiatives to enhance student success and assist the district in achieving its mission and vision.
15. Trains, supervises and evaluates the performance of assigned personnel and student workers; interviews and selects employees and recommend transfers, reassignment, termination and disciplinary actions; develops work schedules to ensure appropriate staffing levels.
16. Develops and prepares the annual preliminary budget for the division; analyzes and reviews budgetary and financial data; controls and authorizes expenditures in accordance with established limitations.
17. Develops, prepares, and maintains a variety of detailed reports, records, and files.
18. Learns and applies emerging technologies; maintains an understanding of current ideas, research and practices pertaining to the areas of responsibility through continued study and participation in professional organizations.
19. Attends and conducts a variety of meetings and training as assigned; serves on various committees as assigned.
20. Creates a welcoming and inclusive work and educational environment; implements, supports, initiates, and participates in activities to increase the diversity, equity, and promotes a culture of inclusiveness, respect, and belonging; serves as an advocate of diversity, equity, inclusion, accessibility, and culture.
21. Performs other related duties as assigned.

KNOWLEDGE AND ABILITIES
KNOWLEDGE OF:
1. Planning, organization and direction of designated operations, activities and services.
2. Principles and practices of administration.
3. Curriculum standards, requirements, interpretation and application in assigned programs and services.
4. Principles of project management, including coordination of special academic initiatives and cross-functional teams.
5. College, State and federal standards and requirements governing College District instructional programs.
6. Title V regulations and applicable sections of the California Education Code.
7. Rules and regulations as set forth by the California Community Colleges Chancellors Office that govern undergraduate professional educational programs.
8. Community college goals, laws and regulations as they related to Instructional Services programs in California.
9. Management principles, including planning, organizing, influencing, motivating and evaluating.
10. Record-keeping techniques.
11. Policies and objectives of assigned program and activities.
12. Interpersonal skills using tact, patience and courtesy.
13. Principles and practices of supervision and training.
14. Basic budget preparation and control.
15. Knowledge of applicable computer operations, assigned software, and data entry devices.
ABILITY TO:
1. Plan, organize, control and direct designated operations, activities, programs and services.
2. Coordinate and direct communications, personnel, resources, curriculum, schedules and information to meet the instructional needs of assigned program and enhance the educational effectiveness of designated programs and services.
3. Adapt to evolving academic policies, emerging technologies, and changing institutional needs.
4. Assist with educational planning and program development in accordance with the missions, goals and objectives of the College and Program.
5. Plan and organize tasks relevant to program needs.
6. Train, supervise and evaluate the performance of assigned personnel.
7. Communicate effectively both orally and in writing with students, faculty, personnel and outside agencies and representatives and relate well to the College community and students.
8. Foster a culture of continuous improvement by engaging with stakeholders and soliciting feedback to enhance academic programs and services.
9. Lead and manage projects and special initiatives from inception to completion, ensuring timelines and deliverables are met.
10. Develop and maintain positive relationships with faculty, administrators, external agencies, and the community.
11. Exercise sound judgment in managing sensitive matters,
12. Identify and resolve scheduling conflicts, classroom allocation issues, and faculty assignments in a timely and efficient manner
13. Develop consensus-building skills.

Educational/Experience Qualifications

MINIMUM QUALIFICATIONS
1. An Associates Degree in a related field from an accredited college or university or the equivalent.
2. Three (3) years of increasingly responsible experience working with Instructional Services, Curriculum or in a related field
3. Exemplary written, oral, and personal communication skills.
4. Proficiency in office software.
5. Demonstrated sensitivity to and understanding of the diverse academic, ethnic, racial, age, national origin, religious, gender, gender identity, sexual orientation, disability, and socio-economic backgrounds of students, faculty, administrators, and personnel.

LICENSES, CERTIFICATIONS, AND OTHER REQUIREMENTS1. Hold and maintain a valid drivers license.

PREFERRED QUALIFICATIONS
1. Bachelors degree or higher from an accredited institution
2. Experience within the California Community College system.
3. Demonstrated experience with California Education Code, Title 5, Chancellors Office administrative procedures, federal law and regulations, and other legal parameters that affect the policies and practices of assigned area of the District.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
1. The physical demands and work environment are typical of an administrative job in an office environment.
2. The position may include evening and weekend duty.
3. The incumbent must be able to perform the essential functions of the job, with or without reasonable accommodation.
4. This position may conduct routine visits to all serviced locations, including California Department of Corrections and Rehabilitation (CDCR) facilities, Palo Verde College's Needles Center, and local high school districts offering dual enrollment classes.

CLASSIFICATION/SALARY
1. This is a Classified Management position.
2. Row 3 of the Districts Administrator/Management/Confidential salary schedule with placement appropriate to experience.
3. The district offers an attractive package of fringe benefits including medical, prescription, dental, vision and life insurance.
