Job Description:
Provide support to students, faculty, and staff by performing administrative functions related to the academic mission of the department that require independent judgment and a high level of confidentiality. Serve as a resource for faculty, staff, and students by keeping current on College and University policies/activities related to course scheduling, registration, and student records, and maintaining strong professional relationships across campus. Provide analysis and recommendations regarding scheduling and enrollment to Chair. Requires on campus in-office work during regular business days/hours.
The position provides comprehensive support for curriculum processes, including scheduling classes, processing approved curriculum changes, and coordinating class date, time, and location (DTR) changes as well as enrollment restrictions. Responsibilities in graduate recruitment include responding to inquiries, maintaining application files, and managing graduate school admissions. Position serves as coordinator for new graduate student orientation, oversees thesis and dissertation processes, and tracks graduate student milestones while liaising with the Graduate School. The role also provides administrative support to Area Directors as needed.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Education and Experience:
- Associates degree or equivalent preferred.
- Two (2) plus years relevant work experience in academic setting.
Skills and Knowledge:
- Experience with Microsoft Office software for word processing and spreadsheets as well as PeopleSoft software used by the University for class scheduling/academic records and OnBase for graduate application processing and degree monitoring.
- Management and communication skills to work effectively with faculty, staff, and students to complete various complex tasks effecting degree programs, academic program, and course offerings.
Responsibilities:
- Manage class scheduling, enrollment, final exam scheduling, classroom assignments, student data inquiries and other academic-related issues for the Department.
- Maintain, analyze, and organize Departmental student-related data including academic and enrollment statistics and trends, and utilize data analysis to form recommendations for course offerings, cancelations, etc.
- Assist faculty leaders with confirmation of classes each semester (including summer), verifying accurate posting of course-related information to MySlice.
- Confer with Student Records, CAS Deans Office, Registrar Office, Graduate School and University Senate to clarify all curricular issues, changes and updates.
- Liaison with other schools/colleges with regard to curricular changes impacting requirements.
- Work with staff from other departments to eliminate conflicts among required courses.
- Perform various administrative duties for prospective and current undergraduate and graduate students and support departmental student groups and organizations.
- Be present in the office to provide services to campus constituents.
- Answer student inquiries.
- Provide statistical information and analysis to faculty leaders for decision-making purposes.
- Maintain accurate student records, ensuring that degree requirements are met.
- Maintain documents and procedures for undergraduate and graduate students.
- Assist faculty leaders with the management of undergraduate advisor assignments, TA assignments, undergraduate certifications and audits.
- Process approved curriculum changes and ensure accurate implementation.
- Manage graduate school admission through the SLATE system.
- Coordinate new graduate student orientation.
- Coordinate communications with student groups.
- Serve as a resource for faculty, staff, and students.
- Maintain knowledge of and provide support for PeopleSoft, MySlice, OnBase, Blackboard, SLATE, and class scheduling/class enrollment/curriculum procedures.
- Adapt and retool as campus business processes develop over time and, as a result, assignments are reviewed and revised.
- Provide back-up coverage for front desk reception, and assist with other staff responsibilities as needed.
