Administration Officer - Centre for Biodiversity and Conservation Science

About This Opportunity

Join a collaborative, inquisitive and purpose‑driven research environment supporting one of Australia’s leading conservation science centres. The Administration Officer plays a pivotal role in enabling the effective and efficient operation of the Centre for Biodiversity and Conservation Science (CBCS), working closely with the Director, Deputy Directors and a highly engaged academic community (including PhD students and postdoctoral research fellows) across the Faculty of Science as well as other Faculties (e.g., Faculty of Business, Education, and Law) and Centres (e.g. Centre for Marine Science).

This role contributes to world‑leading research and real‑world environmental impact by providing high‑quality administrative coordination, communications support and event management within a dynamic, interdisciplinary setting.

Key responsibilities will include:

  • Providing high‑level administrative and office coordination support, acting as the first point of contact for enquiries and interpreting policies and procedures.
  • Coordinating meetings, committees and calendars, including preparation of papers, minute taking, and follow‑up actions.
  • Managing financial and travel administration, including reimbursements, purchasing, bookings and compliance with University policies.
  • Coordinating communications and engagement activities, including newsletters, website and social media content
  • Coordinating seminars and events, including venue bookings, catering, financial paperwork

About You

You are an organised, service‑oriented professional who thrives in a busy, collaborative environment and takes pride in delivering high‑quality support.

You will bring:

  • A degree or diploma with subsequent relevant experience, or equivalent experience in administrative or secretarial roles.
  • Demonstrated experience providing high‑level customer service with strong interpersonal and communication skills.
  • High‑level proficiency across the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
  • Excellent organisational, time management and problem‑solving skills, with the ability to manage competing priorities.
  • Experience working effectively as part of a team in a fast‑paced environment.
  • Strong written communication skills, including experience drafting and editing scientific or technical content for general audiences.
  • A broad understanding of environmental science issues in Australia.
  • Working knowledge of university administrative systems, policies and procedures, or the demonstrated ability to rapidly acquire this knowledge.
