Administration Officer (Identified) - R-64034

About This Opportunity

As an Administration Officer (locally known as General Services Officer), you will play a valued role within the Physics Discipline in the School of Mathematics and Physics, supporting the smooth delivery of teaching, research and engagement activities.

Working closely with academic and professional colleagues, you will contribute to an inclusive, collaborative and service-focused environment where your work enables others to excel. This role is well suited to someone who enjoys variety, takes pride in operational excellence, and values working as part of a connected university community.

Key responsibilities will include:

  • Providing high-quality administrative support to academic staff and students, including correspondence preparation, reporting and minute taking.
  • Liaising with staff, students, external stakeholders and community members, handling a wide range of enquiries and initiating follow-up actions as required.
  • Conducting the onboarding processes for staff, students, and visitors, ensuring smooth induction and access to all necessary facilities and resources.
  • Supporting the Head of Physics/Deputy Head of School with all administrative aspects of the role, including recording of workloads, recruitment processes, annual staff appraisals.
  • Supporting financial administration such as purchasing, reconciliations, hospitality requests, reimbursements and expense claims.

About You

  • A degree or diploma with relevant experience or an equivalent combination of relevant experience and training.
  • Demonstrated experience providing high-level administrative and coordination support in a busy environment.
  • Strong customer service skills, with the ability to communicate effectively with a diverse range of stakeholders.
  • Well-developed organisational and time management skills, including the ability to manage competing priorities and meet deadlines.
  • Proficiency in Microsoft Office.
  • Ability to work both independently and collaboratively as part of a supportive team.
  • Sound judgement and discretion when handling sensitive information.
