Job Description:
The Office of the Provost and Vice President for Academic Affairs invites applications for an Administrative Assistant II. The incumbent will provide complex administrative support to the office of the Provost. Work requires comprehensive knowledge of academic affairs, working across divisions, entering requisitions in Workday, skill in working with issues related to policy, procedures, and confidential matters, and involves considerable participation in providing support to some academic affairs committees. Incumbent must exercise discretion and serve as front line contact for the office. In addition, the incumbent is expected to take initiative and meet deadlines.
Responsibilities:
- Manage the day-to-day first person of contact for the office. To include receiving and screening telephone calls, emails, and providing callers and visitors with courteous and competent assistance. Both from internal and external stakeholders, referring matters to appropriate persons or offices, duties also include ordering supplies and submitting work orders.
- Coordinate and provide support for various Academic Affairs Committees including Curriculum Standard and Policy Committee and Faculty Senate. Receive, document and process incoming paperwork from academic departments and academic affairs committee. Maintain paper and electronic filing systems which meet Academic Affairs needs and satisfy requirements for retention and information security.
- Process requisitions, RTFs, process student concern forms, and other documents as necessary.
- Other duties as requested.
Minimum Qualifications:
EDUCATION
- High School Diploma or GED.
EXPERIENCE
- A minimum of three (3) years of experience providing administrative support.
- Applicants may be required to complete the institutions required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and internet proficiency.
KNOWLEDGE, SKILLS, AND ABILITIES
- General knowledge of and skill in the practical application of generally accepted office practices and procedures.
- Ability to communicate effectively both orally and in writing.
- Ability to understand and follow oral and written instructions.
- Ability to proofread and edit written documents.
- Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, internet, email, and calendaring software.
- Ability to interact effectively with internal and external parties in a courteous and efficient manner.
- Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
Preferred Qualifications:
- 2 or more years of college.
