Xavier University’s Department of Occupational Therapy invites applications for an administrative assistant to provide proactive and efficient support to our team and processes. The ideal person for the job is a problem-solver who displays initiative, excellent communication skills, and impeccable attention to detail. The successful candidate will demonstrate effective technology use, time management, resourcefulness, and the ability to multi-task with a commitment to excellence in the functioning of a dynamic health care program. This is a full-time, hourly position requiring 100% onsite work, with a schedule of 37.5 hours per week. The anticipated start date for this position is mid-January 2026.
JOB RESPONSIBILITIES:

- Provide administrative support to Department Chair, Program Leadership, and faculty including scheduling and communications to ensure smooth and efficient daily operations of the Department.
- Administer and manage the budget including monitoring of relevant funds, procurement of purchases, and reconciling budget expenditures.
- Maintain accurate and organized data for program, faculty and students, including management and inventory of supplies and equipment.
- Assist with document preparation and maintenance of electronic records for compliance and accreditation.
- Coordinate program events, meetings, student activities, and special projects.
JOB REQUIREMENTS:
- High School Diploma or equivalent required. Associate or Bachelor’s Degree preferred.
- Minimum 3 years’ experience in a similar role with comparable goals and responsibilities. Experience in an academic and/or health care setting preferred.
- Ability to adapt to a changing environment, handle multiple priorities, and work independently.
- Excellent writing, oral communication, and analytical skills.
- Proficient in Microsoft Office with aptitude to learn multiple and new software operating systems.
- Physically support constituents in several buildings across campus.
