Job Summary:

The Department of English at the University of Wisconsin-Madison seeks an Administrative Assistant III to serve as a vital member of the English Department, acting as the first point of contact for faculty, staff, students, and visitors. This position plays a central role in ensuring the smooth operation of departmental activities and communications. The successful candidate will provide comprehensive administrative support, maintain essential departmental resources, and coordinate logistics for events and daily operations.

Key Job Responsibilities:

  • Purchase and maintain office supplies.
  • Manage the course evaluation process for undergraduate and graduate courses in the English Department.
  • Collect syllabi for each course and maintain syllabi library.
  • Collect course descriptions and prepare them for posting on the department website.
  • Serve as backup credit card holder for travel and other purchases.
  • Event Coordinator for food services related to speakers and activities generated by faculty, staff, and students.
  • Manage reservations for department conference rooms.
  • Assist with building-related functions, including office and key assignment.
  • Maintain department directory; report building issues for repairs; assign mailboxes; assign copier access; coordinate mail distribution of incoming and outgoing mail and shipments.
  • Main contact for furniture and equipment delivery and removal.

Key Job Responsibilities:

  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Prepares and audits complex records, edits documents, and reviews work done by others
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations

Compensation:

The expected hourly rate range for this position is $21.63 up to $26.44 (12-month) for highly experienced candidates. Actual pay will depend on experience and qualifications.

Required Qualifications:

  • Two years of experience with Microsoft Office Suite
  • Experience managing multiple tasks and timelines
  • Ability to work effectively with people from multiple backgrounds
  • Ability to maintain confidentiality
  • Ability to communicate effectively using a variety of methods and technology
  • Ability to lift and move boxes and other items weighing up to 25 lbs

Preferred Qualifications:

  • Coursework in office practices and administration
  • Experience working in a busy office environment

Education:

H.S. Diploma Preferred Minimum
