Job Description

Reporting to the Managing Director, the Administrative Coordinator is responsible for supporting a wide range of administrative and support functions. The Administrative Coordinator is responsible for developing effective systems for managing administrative needs, distributing institutional communications, proactively setting short-term and long-term priorities, and anticipating and completing tasks needed to execute identified projects as directed. The Administrative Coordinator provides regular updates on the progress of these tasks and projects.

Job-Specific Responsibilities:

  • Manage complex calendars responding quickly and efficiently to a high volume of scheduling requests and changes, showing significant independent judgment in identifying and resolving potential conflicts.
  • Support the development of agendas, collection, collation, and distribution of materials for meetings.
  • Compose, proofread, edit and prepare correspondence, reports and other materials as needed.
  • Arranges for use of facilities and advise on the availability of services for group gatherings and meetings; provides set up and in-room support as needed.
  • Assist with planning and execution of institutional events with A.R.T. staff such as the company meetings, holiday and other social events.
  • Supports the access to SharePoint and the management and organization of common files.
  • Coordinates with various managers as needed for onboarding of other staff members, students and interns, and temporary workers. May assists in training, scheduling, and distributing work for these individuals.
  • Occasionally supports the reconciliation of financial transactions and reimbursements.
  • Perform additional related duties as needed.

Qualifications

Candidates MUST meet the following basic qualifications to be considered for this role:

Three or more years of related experience. Education beyond high school may count towards experience.

Additional Qualifications and Skills:

Excellent interpersonal and communication skills required. Ability to prioritize work in an environment with multiple and conflicting interests. Ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion. Competency using a variety of computer software. May be tested on appropriate computer skills as required. Keyboarding speed (wpm) may be required as appropriate to job duties. Tessitura knowledge a plus. Demonstrates a passion for and familiarity with the performing arts industry.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
