EMPLOYMENT STATUS: Full-time
POSITION DESCRIPTION: The Administrative Assistant for the Physician Assistant Program provides fiscal, clerical and administrative support for the program. Responsibilities include assisting with data collection for budget planning, processing purchases for laboratory courses and other expenses, maintaining an accurate ledger of expenses; organizing recording meeting notes; assistance with email and phone communication to students, faculty, staff, and external entities; assistance with paperwork and processes for accreditation; accessing information and data from various university databases and platforms; maintaining databases; greeting guests of the program; and working independently to improve existing program processes.
RESPONSIBILITIES/DUTIES:
- Take directives from and provide clerical support to the Program Director and program faculty
- Communicate with faculty, students and external entities
- Communicate with companies and sales representatives to assist with department purchases
- Assist with printing of documents and posters
- Prepare and process program purchases
- Maintain an accurate ledger of all program purchases and expenses
- Assist with managing the budget; prepare and process department orders
- Record meeting notes
- Answer the phone and greet guests
- Assist faculty and Program Director with tasks including: purchasing, verifying student records, gathering student/course information, and other tasks as needed
- Assist Program Director with administrative support for accreditation processes
- Maintain office inventories
- Maintain records and collect data related to the application and admission to the program
- Other duties as required
REQUIRED QUALIFICATIONS:
- An associate's degree or high school diploma
- 5 years of experience with secretarial and computer skills
- Expertise in Microsoft Excel and working knowledge of Microsoft office software program
- Potential for proficient use of Physician Assistant Student Tracking Software
- Effective written and verbal communication skills
