The Financial Aid Office at St. Catherine University invites applications for a full-time Administrative Assistant position.
The Financial Aid Assistant serves as an integral part of the financial aid team. The individual in this position takes responsibility as the front-line, first contact for students, parents, faculty, and staff with questions or concerns regarding financial aid for Graduate College, College for Women, and College for Adults. This individual is also responsible for answering and directing a high volume of emails and phone calls, maintaining office supplies and materials, and intake and storage of sensitive documents.
Responsibilities include:
- Provide excellent customer service to students, parents, staff, faculty, and visitors to the Financial Aid Office.
- Assist parents and students with the application process by trouble-shooting FAFSA filling questions, explaining student holds, St. Kate's website navigation, revision requests, and form submission.
- Inform parents, guardians, and students of University policies and requirements related to various forms of aid, scholarship, tuition, billing and registration.
- Monitor Financial Aid inbox and provide timely and accurate responses to inquiries by accessing information in Banner, DocFinity imaging, Slate and the National Student Loan Data Systems.
- Schedule financial aid counselor appointments
- Provide daily workload/ basic training to student workers in collaboration with Associate Director.
- Scan and index required materials into DocFinity document imaging systems
- Assist with document collection for annual audit review.
- Process bi-weekly cancel/defer reports from Registrar's Office.
- Complete projects as needed by Counselors, Assistant or Associate Directors.
- Receive weekly reports from/ make updates in National Student Loan Data System.
- Maintain outside scholarship database
- Other duties as assigned.
Minimum Qualifications:
- High school diploma/GED
- Experience working in Microsoft Office Suite and Google Suite
- Experience working with databases, reporting tools and data analysis
Preferred Qualifications:
- Bachelor's Degree
- Experience working in Banner
- Experience working with federal, state, and institutional financial aid policies and regulations
- Experience working in administrative positions, especially in a higher education setting
