Description
Hampton University seeks a highly motivated individual to fill the position of Administrative Assistant in the Hampton University Pre-Law Institute (“HUPLI”). The successful candidate will provide essential administrative and clerical support in a fast-paced environment. Key responsibilities include responding to students’ request to meet with the HUPLI Director for academic advisement, processing various internal and external administrative forms, assisting with organizing and executing various events and engagements involving students, alumni, members of the national and local legal community as well as engaging other University/HUPLI stakeholders. The ideal candidate will possess strong professional and customer service skills, along with the ability to multitask effectively.
Examples of Duties
- Perform general clerical duties to include, but not limited to filing, scanning, copying, mailing, etc.
- Greet students, faculty, and visitors and answer the multi-line telephone at the front desk courteously and professionally.
- Prepare purchase requisition, reimbursement documents, and budget related documents
- Order office supplies and equipment.
- Set up and coordinate meetings.
- Manage day-to-day communications for HUPLI.
- Compose letters and memorandums.
- Manage correspondence with students, alumni, and other stakeholders.
- Assist with maintenance of office equipment such as copiers, printers, shredder, etc.
- Type reports and other documents as needed.
- Assist with maintaining office records, including students’ advisement files.
- Assist with copying and/or delivering documents to Office Services for printing.
- Maintain the reception area in a neat and organized manner.
Typical Qualifications
- Must have a minimum high school diploma or GED and previous professional experience.
- Must be proficient in Microsoft Office Suite of products including MS Word, Excel, Access, PowerPoint, and Outlook.
- Must have effective communication and organizational skills.
- Be flexible and work well either alone or as part of a team.
- Be high energy and have a commitment to accomplishment.
- Perform multiple tasks and work effectively under pressure.
- Possess strong interpersonal skills.
- Provide services and accurate information in a courteous and timely manner
- Possess some availability with respect to occasional weekend work and/or travel.
